THE IDEAL CANDIDATE

To help us continue our growth, we’re seeking an experienced director of operations to join our high functioning and passionate team. You’ll work closely with the Chief Executive Officer to strategize and develop long-term plans that usher in new levels of productivity and success at Outdoor Afro.

As an ideal candidate, you have proven high level operations management experience in a highly dynamic setting. You have a sharp business mind and proven success managing growing teams or organizations toward maximum productivity. You possess skills in operations, finance, and technology management. Your organizational, communication, and leadership skills are second to none and you enjoy developing solutions that push innovative boundaries.

POSITION OBJECTIVES

Reporting to the Chief Executive Officer, manage the effective daily operations of the organization. Collaborate with leadership and inspire team members to develop performance goals and long-term operational plans; maximize efficiency and productivity through effective process analysis and interdepartmental collaboration; maintain communication with management, staff and vendors to ensure sound operations of the organization; develop, implement and maintain quality assurance protocols; set and implement strategic goals for operational efficiency and increased productivity; work with program staff to develop staffing, financial, and programmatic plans; analyze current operational processes and performance and recommend solutions for improvement when necessary.

POSITION RESPONSIBILITIES

Organizational Operations

●      Build and maintain relationships with organizational leadership, external partners, and vendors to make decisions regarding operational activity and strategic goals.

●      Direct day-to-day office operations staff and activities including developing, maintaining, and ensuring compliance with operations policies, procedures, best practices, and special projects.

●      Develop, implement, and monitor day-to-day operational systems and processes that provide visibility into goals, progress, and obstacles for our key initiatives.

●      Oversee office administration activities at various levels to ensure effective project management, standard operating procedures, administrative systems and processes, meeting and event planning.

●      Oversee supplies procurement, mailing projects, and materials production activities.

●      Interface with staff, office building management, and outside vendors to ensure office and facilities needs are met.

●      Collaborate with the leadership team on the development of the organization’s annual budget. Actively ensure operational activities adhere to budget plans. Manage the financial controls process including approval of invoices for operational items and services, review and approval of expense reports, and review/approval of independent contract agreements.

●      Collaborate with the leadership team on human resources needs and functions. Actively ensure operational activities are aligned with people capacity. Ensure new and existing staff are integrated and trained on operational processes, policies, and procedures. Work with leadership on the onboarding and offboarding needs of new and departing staff.

●      Provide leadership around activities associated with Outdoor Afro Board of Directors meetings. Ensure effective meeting planning and materials production. Manage follow-up action items and coordinate with staff to ensure outcomes of the meetings are tended to.

●      Work closely with organization leadership to lead the team with integrity; establish and maintain a trusting, inclusive and productive environment; and ensure activities remain safe and compliant.

Technology and Database Administration

●      Manage the organization’s technology infrastructure and plan for, as necessary, information technology systems and necessary external expertise that support the growing operations of the organization.

●      Oversee and manage implementation of the organization’s fundraising and donor engagement technology (Salesforce).

●      Effectively engage necessary resources to manage, design, and implement ongoing administration of the Salesforce platform. Manage activities and/or engage with external resources as needed to ensure optimal performance of the Salesforce system. Work with operations staff to manage roles, profiles, sharing rules, workflows, and groups; import contacts and other data; build custom reports and dashboards; perform database maintenance tasks; and document processes.

●      Manage IT service vendor activities to ensure overall performance and sound technological infrastructure and timely customer service.

●      Ensure all office and remote team technology needs are met including computers, devices, programs, and connectivity to cloud storage and social media platforms.

●      Develop, maintain, and enforce policies and procedures for employee use of company assigned technology assets.

●      Oversee the organization’s website infrastructure needs; serve as back-up support for website maintenance as needed.

Other Responsibilities

●      Conduct research, prepare written materials and briefings, assist with internal and external events, and manage special projects as assigned.

●      Write correspondence, make presentations, and participate in meetings as requested. Conduct technical research, prepare policies and procedures, and provide summary briefings as requested. Prepare presentations, outreach materials, and coordinate special events as assigned.

EDUCATION AND QUALIFICATIONS

●      Bachelor’s degree in business administration or related field

●      5 to 7 years experience working in operational leadership; nonprofit experience preferred but not required.

●      Team player with warm communication style. Positive and professional demeanor with good interpersonal skills and ‘can-do’ attitude.

●      Masterful organizational, communication, and leadership skills, demonstrated by previous professional success

●      Superior knowledge of operational functions and principles, including finance, customer service, production, and employee management.

●      Proven ability to develop innovative solutions to manage operational processes and to streamline and implement new structures and roles that create efficiency and support rapidly shifting business demands

●      Excellent writing and editing skills.

●      Demonstrated project management experience.

●      Experience with budget and business plan development

●      Must own or lease their own vehicle and possess a CA driver’s license with a clean driving record.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, talk, or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. COMPENSATION AND BENEFITS

$75,000 to $95,000, depending on candidate experience. Outdoor Afro offers a competitive benefits package including 401k, medical, dental, life insurance, and paid time off.
