Voices for Georgia’s Children (Voices) is the leading comprehensive child policy and advocacy organization in the state.  Voices is an independent, non-partisan, information hub and coalition builder. We promote pragmatic policies that recognize children’s needs are interconnected and best met holistically. Voices champions the “whole child” approach and is leading a movement of public and private stakeholders to advance systemic change on behalf of Georgia’s children.

We achieve our influence through advocacy with elected and appointed officials and through extensive collaboration and engagement of local, state, and national organizations.  We partner with academic and community organizations with deep knowledge of key children’s issues to ensure a research-base to our policy agenda.  We convene leadership teams of organizations with common objectives for collective advocacy; and we engage and educate a broad network of individuals and organizations to encourage a community culture that gives priority to children.  Through traditional and social media, we educate and encourage the larger community to support the needs of children.

Job Summary

The Operations Manager role is key to the efficiency and effectiveness of our team, and the execution of our mission.  The Operations Manager will have varied and essential responsibilities that touch every aspect of organization.  Working with the Senior Director of Operations and Finance, the Operations Manager will manage day-to-day business functions to include accounting/bookkeeping, budget/grants management, general operations, and HR functions, with an eye toward continuous improvement.  The Operations Manager must be able to exercise sound judgement and independently execute the job responsibilities.

Job Responsibilities

Accounting/Bookkeeping

  • Manage AP/AR functions for the organization by performing routine bookkeeping functions using QuickBooks Online (QBO) to include, but not limited to:
    • Entering income and expenses including accurate coding for expenses, invoices, and donations from all sources
    • Reconciling receipts and credit card statements
    • Monitoring bank account balances and cash flow
    • Generating AR invoices to ensure timely receipts
    • Making check deposits into bank account
    • Capturing online donations in QBO
  • Lead preparation for the annual audit and filing of the Form 990
  • Ongoing coordination and management of relationship with contract CPA support

 

 

Budget & Grants Management

  • Support the development of the organization’s annual budget
  • Track grants in CRM, monitoring spending and preparing budget reports for program and project managers
  • Provide financial data to support grant proposals
  • Support other fundraising efforts, as needed

 

 

General Operations

  • Serve as database administrator for CRM
  • Evaluate services and manage relationship with IT support
  • Manage vendors and serve as the primary point of contact for vendor relationships
  • Maintain records of contracts and other agreements
  • Monitor technology needs of the organization and recommend upgrades and improvements (laptops, printers, phone systems and software, cloud-based applications)
  • Draft operating policies and procedures
  • Prepare reports and materials for board of directors and committees
  • Maintain corporate registrations and memberships
  • Maintain all records in accordance with organizational policies

 

 

Human Resources

  • Support recruiting and manage orientation and onboarding processes of new employees
  • Facilitate employee engagement and recognition for a remote workforce
  • Update and maintain the organization’s personnel handbook

Other duties as assigned

Education

Bachelor’s degree in management, business, accounting, or a similar field is required.  Master’s degree, preferred.  High quality, relevant experience may substitute for some of the educational requirement.

Qualifications

  • Minimum five years of experience in operations management and accounting, preferably in a non-profit setting.  Seven to ten years of experience preferred
  • High degree of proficiency in QuickBooks Online or similar accounting application
  • Advanced knowledge of Microsoft Office Suite, especially Excel. Experience using Adobe Acrobat to edit forms and documents
  • Proficiency in CRMs, preferably EveryAction and/or SalesForce, and cloud-based board portals and human resource information systems
  • Ability to communicate effectively and collegially, both verbally and in writing

  • High level of attention to detail and task orientation; ability to manage workload and deadlines
  • Experience in supporting the work of a busy office
  • Sound judgement and self-management are critical
  • Ability to maintain confidentiality. 
  • Flexibility and a collaborative strong team player.  Willingness to change tasks on short notice and pitch in on team products when needed

 

 

Location

This position is home-based, but applicant must be able to periodically visit the physical office located in downtown Atlanta to retrieve important documents and to ensure the office is maintained to support the needs of the team. Applicant must be a resident of the state of Georgia.
