Position Overview

Planned PEThood of Georgia (PPOG)’s Executive Director is primarily responsible for the financial and reputational health of the organization, and for the effectiveness of each of its programs.

It is ultimately the responsibility of the Executive Director to ensure that PPOG’s veterinary patients, foster animals, and rescued pets receive the highest quality care from a well-trained and well-treated staff; that this care is provided in a safe, caring, and humane manner; that our individual clients and animal welfare community are provided with appropriate access to affordable care; and that all persons interacting with the organization are treated fairly and with respect.

Areas of Responsibility

Budgeting and Financial Oversight:

  • Optimize financial operations in all areas:
    • Develop and adhere to budget that provides positive cash flow
    • Review budget at minimum quarterly to identify and correct deviations
    • Provide quarterly cash flow and budget performance updates to Board
    • Ensure and maintain SOP, including but not limited to financial recording, inventory, security of assets & financial instruments
  • Ensure non-profit, sales, and other tax compliance with local, state, and national laws
  • Take a leadership role in adhering to budget and recommending budget alterations as needed
  • Maintain awareness of the organization’s current financial status and factors that may affect it

Leadership:

  • Display 100% commitment to Planned PEThood’s mission and programs during all interactions with staff, funders, and the general public
  • Act as “Chief Enthusiasm Officer,” providing a sense of positivity and motivation for staff and volunteers
  • Maintain a fun, positive organizational culture of competency, professionalism, and compassion
  • Maintain an open-door policy, allowing all staff members and volunteers confidential access to discuss concerns

Operations

  • Monitor company operations and ensure employees and business practices comply with regulatory and legal requirements, including OSHA
  • Ensure regular physical inventory is performed for all physical assets, including but not limited to medical supplies (monthly), drugs (monthly), consumables (monthly), and equipment (annually), and that discrepancies are noted and addressed.
  • Delegate organizational responsibilities to appropriate staff members
  • Oversee daily organizational operations, streamlining to assure maximum efficiency
  • Ensure that protocols and procedures are complete for all areas, updated as needed, and are accessible and adhered to by all staff members and volunteers
  • Keep the Board of Directors updated on organizational activities at least quarterly
    • Immediately notify Board of financial, legal, or key personnel issues that could have a significant impact on the financial or reputational health of the organization

Human Resources

  • Identify, recruit, train, develop, and manage a talented team of employees who can lead critical departments and manage strategic business functions.
  • Provide oversight to the hiring and managing of all staff and volunteers
    • Ensure that all volunteers are properly managed and provided feedback by a program coordinator, and that liability releases are completed and accessible.
  • Ensure that organizational and personal goals are communicated to staff in the form of specific job descriptions and regular opportunities for feedback
  • Promote diversity within the workplace and ensure that staff and volunteers are treated fairly
  • Maintain up-to-date personnel files on all staff, in accordance with national and state workplace standards,
  • Establish and execute regular performance reviews of all staff to ensure appropriate job performance, identify strengths and weakness, and develop performance plans as needed
    • ED is directly responsible for reviews of their direct reports, and for ensuring that supervisory staff is performing appropriate review of their direct reports
  • Ensure a safe and productive workplace for all staff and volunteers
  • Verify current licensure status annually for all veterinarians and veterinary technicians, and ensure licenses are properly displayed according to state law

Business Development/Funding:

  • Maintain and nourish current relationships with the organization’s partners, sponsors, and key donors
  • Build new relationships and partnerships, cultivate relationships with corporate, local government and community leaders, related organizations, and media partners
  • Identify potential risks and opportunities within the organization and its environment to protect business interests; protect and grow the organization’s reputational and intellectual property assets
  • Maintain external “presence” that communicates programming results and highlights with an emphasis on growing our community of engaged constituents and supporters
  • Represent the company at social, corporate, and government events in ways that strengthen the brand and communicate the company’s message.
  • Set clear goals for funds needed, according to budget; ensure that Development Coordinator has and meets specific fundraising goals
  • Identify new areas of need in the community and strategize ways to fulfill those needs
  • Secure adequate funding for all programs, including ensuring that grant applications and other funding activities are performed by program coordinators
  • Identify and pursue opportunities to expand the organization’s mission as well as new funding opportunities

Job Performance and Development

  • Submit proposals to BOD for review and approval prior to beginning or fundamentally altering programs, facilities, or operations
  • Adhere to current Bylaws of the organization
  • Participate in at least annual performance review with Executive Committee.
  • Executive Committee will provide clarification of job duties as needed or upon request.
