Job Title: Operations Assistant 

Reports to: Executive Director 

Primary Responsibilities: 

Operations Management 

  • Maintain a catalog of all organizational computers, laptops, office equipment and other fixed assets, with serial numbers, warranties, purchase dates, etc. 
  • Handle all postal matters on behalf of the SNaPCo including: purchasing and distributing postage, conducting mail-runs, the mail out of packages, shipping boxes and courier services. This includes order materials and preparing and mailing boxes for events and programs.
  • Provide operations and logistics support for SNaPCo projects and programming

Contractors & Vendor Management 

  • Maintain strong working relationship with all vendors, service contractors and companies 
including: gas, electric, water, copier, HVAC, security, internet, telephone, garbage, plumber, lawn service, arborist, pest control, landlord, videographer, caterers, venue rentals, consultants, etc.
  • Maintain service records, contracts, and files for all vendors
  • Oversee payment of contractors and vendors on a weekly basis (in coordination with SNaP CO.’s fiscal sponsor)
  • Oversee the operational side of onboarding new contractors vendors (in coordination with SNaP Co.’s fiscal sponsor)

Property Management 


* The SNaP Co. team is currently working virtually as we identify an office space to grow into. The following pieces of work will not be included in this position until we transition to an office space in 2022 /2023*

  • Create a hub and home for staff and members of SNaPCo

  • Monitor building upkeep and maintenance SNaPCo rental property
  • Supervise all repairs, services, construction, and/or renovations of SNaPCo rental properties 

  • Serve as the main point of contact for emergency matters such as fire, theft, criminal activity, and property damage. This includes the filing of police reports, and ensuring that police do not come to our office
  • Work with fiscal sponsor and Executive Director to ensure that SNaP Co.’s virtual and in person office environments are in compliance with Occupational Safety and Health Administration (OSHA) and DUD

Fiscal Management 


  • Serve as lead contact and liaison with fiscal sponsor, Social Environmental Entrepreneurs 
(SEE) 

  • Maintain operational fiscal controls throughout the organization 

  • Track and log all funds received and all funds paid out, by maintaining and updating the accounts payable and accounts receivable files on a weekly basis (invoice, bills, rent, payroll, expense reimbursements, credit cards, bank deposits, advances, etc.) 

  • Conduct monthly reconciliation of credit card expenses, and collection of receipts  (in coordination with SNaP Co.’s fiscal sponsor) 
  • Make necessary bank deposits of any funds or checks received on a weekly basis 

  • Provide budget development support to the SNaP Co. Executive Director

Qualifications: 

  • Experience in bookkeeping, document management, business administration, and data entry 
  • Experience with vendor coordination and communication
  • Experience with billing management
  • Exceptional computer and digital literacy (Google Suites, Microsoft Suites, Zoom, Slack, Signal, etc.)
  • Proven ability to accomplish multi-pronged, fast-moving projects
  • Highly motivated to end criminalization of Black trans and queer folks in Georgia
  • Commitment to the power and self-determination of low-income communities and communities of color
  • A personal framework to social justice and a strong commitment racial and economic justice

Knowledge & Skills: 

  • Organized, creative, self-directed, and team-oriented 
  • Good communication and listening skills 
  • Ability to resolve conflict 
  • Ability to work well with others 
  • Willingness to enter into a 90-day probationary period before offered permanent employee period; if the environment is affirming to the 90-day mark then would be willing to make a 1-2 year commitment that would include benefits. 

Salary: This is a part-time position within the range of $28,000 - $32,000 annually, the salary will be commensurate with experience
