Job Summary 

 

The Rosalynn Carter Institute for Caregivers promotes the health, strength, and resilience of caregivers through gathering, analyzing, and sharing data, partnering with others, and promoting evidence-based programs. Reporting to the Program Manager, the Program Assistant is responsible for coordination and support functions across all of RCI’s programs, including 1:1 coaching programs, support groups, classes and workshops. The Program Assistant works closely with all Program staff to ensure efficient day-to-day functioning of related programs.  

Responsibilities 

  • Responds to general program inquiries received via phone, email, or direct contact and provides information and assistance as appropriate and within RCI’s scope of practice 
  • Assists in recruitment, engagement, and enrollment of participants across RCI programs 
  • Manages program referrals, including direct contact with potential participants for eligibility screening 
  • Coordinates ongoing communication with RCI program delivery sites, supervisors, and trainers to ensure adherence to program standard operating procedures 
  • Coordinates and assists with internal and external program meetings 
  • Maintains and updates master schedule of all RCI workshops, trainings, and classes 
  • Maintains database of active program sites, coaches/trainers, and certifications 
  • Maintains database of active agreements and tracks deliverables from RCI program delivery sites 
  • Maintains working understanding of all RCI programs in order to effectively respond to requests for information from staff, partners, stakeholders, and community members  
  • Supports development and maintenance of program content on RCI website 
  • Supports development and revision of RCI program materials 
  • Provides general administrative support for all trainings, including the coordination of training venues set-up and training schedules 
  • Provides timely delivery of all training materials to multiple sites/trainers across the nation 
  • Develops and maintains community resources to assist family caregivers 
  • Performs data entry for programs and assists with data collection and reporting of data as needed 
  • Works directly with Senior Leadership Team to cultivate appropriate peer and funder relationships that result in future engagement and funding of RCI, maintaining a high level of professionalism, performance, and integrity in these relationships 
  • Maintains and shares consistent documentation of interactions on behalf of RCI, as well as provide regular reports and updates on these to drive organizational strategy 
  • Performs other related duties as assigned 
  • Occasional travel required 

Required Qualifications 

  • Bachelor’s degree or equivalent related experience  
  • Fluent in both Spanish/English  
  • Minimum of 2 years applicable experience  
  • Exposure to, and familiarity with, the lived experience of caregivers 

Preferred Qualifications 

  • Background in social services, public health, or closely related field

  • Excellent verbal and written communication skills in both Spanish and English 
  • Strong communication skills with a wide variety of audiences 
  • Knowledge of modern office practices and procedures

  • Exceptional written, oral, interpersonal, and presentation skills and the ability to effectively interface with RCI’s senior leadership, Board of Directors, Leadership Council, donors, partners, and staff 
  • Ability to productively impact both strategic and tactical initiatives 
  • Demonstrated creativity, flexibility, and adaptability to adjust to changing program needs and requests  
  • Excellent judgment and creative problem-solving skills with the ability to make decisions in a changing environment and anticipate future needs 
  • Unimpeachable ethical standards, confidentiality, and personal integrity 
  • Proficient in Microsoft Office, G Suite
