PROGRAM ASSISTANT JOB DESCRIPTION
The Drake House Program Assistant performs essential functions to support The Drake House Program Staff, residents and visitors. This role serves as both the voice and face of The Drake House to callers and visitors.
Position Description:
The Program Assistant reports to the Director of Programs and is responsible for the day-to-day operations of the Family Services office, integral to the smooth operation of The Drake House housing and support programs.
Duties include but are not limited to:
- Manage front office including greeting clients, volunteers, and visitors. Make copies of requested documents for potential client interviews
- Provide Microsoft Office training/support and share drive file management to Family Service Team to include managing client-related Salesforce reports. Also, assist in document revisions and updates as needed
- Distribute mail and assist clients in the use of office equipment and accessing supplies or pantry items, manage laundry room schedule and notification
- Receive, document, and process client savings deposits
- Assist with scheduling meeting space, and logging out gift cards or MARTA cards for client needs
- Attend Monday Night programming and assist with managing attendance records of clients and identifying door prizes
- Communicate and assist Life Skills speakers with scheduling and materials needed
- Provision of instructional materials for Budget Coach trainings and family workbooks
- Assist Career Coach in programming materials and scheduling needs as requested.
- Work with Student Program Coordinator on compiling metrics for ASP data and serve an ASP sub when needed.
- Develop Alumni, Budget Coach, Advocate, and family surveys when needed
- Oversee apartment inspection and follow up to include training volunteers, move out inspections, and data input on apartment status report
- Assisting in apartment transitions, including assembling and delivering move-in baskets, conducting apartment inventory and restocking, and communicating with staff
- Assist with holiday and special event needs, including quarterly Resident Town Halls
- Communicate program and client needs to resource team
- Assist in communication with Program Committee, including scheduling, providing materials (presentation/reports) for monthly meetings
- Compile client data through Salesforce reports into a Monthly Program Report for use of Program Director Board of Directors reporting purposes
- Administrative support as needed, including managing and coordinating the day-to-day schedule for Program Director
Experience and Qualifications:
A college degree and a minimum of five years of administrative experience in the non-profit sector is preferred.
Working knowledge of Microsoft Office Suite and knowledge of donor/volunteer-based software is required.
This position requires excellent communication skills and combines strong people skills with strong organizational skills. Ability to work independently in a team-oriented, fast-paced atmosphere required.
