The Finance Manager works closely with the Executive Director, the contracted accountant, the Treasurer, and the Finance Committee to develop, manage, and oversee the annual budget and the investment of revenues and donations. The position will collaborate with the accountant to monitor cash flow, general ledger, accounts payable, accounts receivable, and payroll. The position will review financial reports, monitor accounts, prepare activity reports and financial forecasts, lead the annual financial review process and tax return preparation, and serve as the primary contact for the annual financial review. The position investigates ways to improve profitability and analyze markets to investigate and carry out strategies to raise capital and explore social enterprise opportunities. The position is responsible for financial reporting to staff, Board of Directors, and grant funders and assists the Executive Director and program managers with the preparation of the annual budget. The position will collaborate with the Executive Director to assist in several human resource management areas: personnel files, payroll and timeclock, employee benefits, annual benefit renewals, and tax filings and reports. The position will provide general office and information management, including office supplies, furniture and equipment, maintenance and repair requests, office tele-communications, computers, printers, and networks.
Major Responsibilities
Financial Operations
- Provide accurate and timely financial recordkeeping and reporting in compliance with generally accepted accounting principles (GAAP)
- Stay current will Federal and State regulations regarding grants administration and audit requirements
- Prepare and maintain all the schedules and reports required to ensure that all financial audits and tax filings are well-prepared, accurate, and on-time
- Work closely with the Executive Director, Board Treasurer, and contracted accountant to ensure accurate and transparent financial procedures and documentation
- Assist the Executive Director and program managers with the preparation of the annual budget.
- Provide financial reports and forecasts of revenue and expenditures
- Track all funds received according to established accounting practices Track all invoices; submit payment for invoices, checking coding and monitoring all transactions Submit checks for reimbursement, verifying that Executive Director preapproved all requests Perform in person and online banking transactions Oversee and maintain the organization’s insurance coverage, organizational filings with the state and federal government Assist Executive Director with monthly, quarterly, and yearly financial reporting
Human Resource Management
- Maintain accurate personnel files (including sick, vacation)
- Prepare payroll and manage the organization’s time keeping platform, employee benefits, annual benefit renewals, and tax filings and reports
- Provide support to all employees regarding employment and benefit issues
Data Management, Communication, and Reporting
- Provide an efficient, cost-effective office environment
- Facilitate membership and tracking and process by closing batches and verifying membership funds received to maintain 360 database
- Track online websites and passwords and update monthly at staff meetings
Office Management
- Monitor RING app, update the OAKS app for employee door codes
- Order and replenish office supplies as needed
Other duties as required
- Maintain current knowledge of programs and ensure adherence to operating guidelines at all times; participate in required program related webinars
- Cross-train with other departments and assist when necessary; participate in community events as appropriate
- Participate in regular team meetings and meet regularly with supervisor
- Participate in on-going continuous quality improvement and quality assurance activities for departments and programs
- Track all equipment (computers, printers, cell phones, jet packs, etc.)
- Other duties as assigned
Qualifications (Knowledge, Skills, Ability)
- Accounting or business degree and relevant work experience
- Familiarity with generally accepted accounting principles and non-profit accounting
- Communicate professionally with strong written and verbal interpersonal communication skills
- Strong organizational skills including attention to detail and ability to manage multiple on-going projects. Ability to prioritize and problem-solve effectively
- Ability to initiate projects and work independently in order to meet program deliverables and deadlines
- Willingness to step up as a team player in order to cross-train and provide coverage for other departments programs when needed
- Computer literacy with experience in Microsoft Office Suite
- Ability and willingness to travel within the State of Georgia. This requires a valid Georgia driver’s license, proof of current auto insurance and reliable means of transportation
- Able to occasionally lift in excess of 20 pounds
- Have compassion and understanding to give hope and direction to families struggling to understand and support their loved one living with mental illness
Position Type and Expected Hours of Work
- Full-time, approximately 40 hours/week; Exempt status
- Salary Range: $50,000-60,000/year
- This position will work a set schedule each week (i.e., Monday - Friday, 9 a.m. – 5 p.m.) with some flexibility to accommodate the needs of programs, events, and community members
- Reports directly to the Executive Director
