Conservation and Markets Initiative
The Conservation and Markets Initiative seeks to advance conservation by delinking food production from ecosystem degradation. To accomplish this with sufficient speed and at a meaningful scale, we aim to work with a critical mass of supply chain actors to change behavior and transform the markets for beef, leather, soy, and top-traded seafood. By shifting the production, sourcing, and financing for these key globally traded agriculture and seafood commodities, the threats from growing international demand can be reduced—averting habitat conversion, deforestation, and overfishing in their primary production regions and helping ensure that conservation can endure.
Together with our grantees, we are engaging with the private sector in:
- Agriculture — improving soy and beef production in the Brazilian Amazon and Cerrado, and the Chaco in Argentina, Paraguay and Bolivia, by shifting practices towards sustainable agricultural production of these globally traded commodities,
- Seafood — protecting marine and coastal ecosystems by safeguarding the health and abundance of wild-capture fish stocks and improving aquaculture practices,
- Finance — ensuring that financial institutions, who provide capital to companies involved in beef, soy and seafood commodities, routinely scrutinize the business consequences of deforestation and overfishing and develop incentives for companies to eliminate risks associated with deforestation, illegality and overfishing in their supply chains.

The Operations Associate provides essential support for the Conservation and Markets Initiative (CMI) and is accountable for enabling effective Initiative operations. This role works closely with the Program Director and Program Officers on the team, and with Program Manager of the Environmental Conservation Program (ECP) in coordination of the CMI’s full-cycle grantmaking process, and assisting with CMI’s budgetary management.
The position is based at foundation headquarters in Palo Alto, California; however due to the COVID-19 pandemic, foundation offices are closed until at least January 1, 2022, and work will initially occur remotely.
Initiative Team Operations
Facilitate team coordination, work plans, and internal functional relationships, and maintain view of all CMI costs and oversight of the contract development process:
- Support meetings and events (e.g., bi-weekly team meetings, periodic multi-grantee gatherings) by taking the lead in drafting and maintaining agendas, preparing and distributing meeting notes and synthesis documents, and coordinating follow-up items that require action.
- Work proactively to develop and implement templates, timelines, analyses, and processes to continue and enhance Initiative operations.
- Assist CMI’s Program Director and Program Officers in the preparation of pre-reading materials, PowerPoint slides, and documents for both the Trustee Advisory Group (TAG) and foundation Board of Trustee meetings.
- Manage the Operating Expense (OpEx) budget and coordinate the development of contracts that are paid through it, as identified by CMI team members.
- Maintain portfolio/management view of all costs for the Initiative in close coordination with the Program Director.
- In partnership with the CMI Program Analyst, coordinate CMI team strategy meetings by drafting and maintaining agendas, preparing and distributing meeting notes and synthesis documents, and articulating and following up on tasks to be completed by team members as the Initiative’s grantmaking strategy and operations evolve.
- Participate with CMI team in preparation of annual target-setting and indicator documents for ECP and the wider foundation.
- Manage, with input from CMI’s Program Director and Program Officers, CMI’s highlights/lowlights and work products documents with notable data, analysis, and stories as they present themselves throughout a given year.
- Track and prioritize key information within multiple workstreams to support the Program Director’s decision-making and ECP Program Manager’s oversight of Program operations.
- Provide transparent and timely initiative budget and grant pipeline information for team. Track and provide updates on initiative “available to promise” grant budget to Program Director and Officers.
Support the CMI team in grant development and management, and serve as a liaison to cross-foundation infrastructure teams for problem solving throughout the process as needed:
- Coordinate new grant, SCP, and DCA document development and submission for the CMI team, ensuring high quality, consistent, timely, and appropriate documents for review by decision-makers.
- Take the lead, in coordination with CMI’s Program Director and Program Officers, on maintaining active grant records, monitoring narrative and financial grant reports and grant payment requirements, and facilitating the close-out of grants.
- Take the lead, in coordination with CMI’s Program Director and Program Officers, on maintaining CMI’s grant pipeline tool and coordinating with the Finance Hub’s grant pipeline tool to provide transparent and timely information on the status of CMI’s collective grantmaking and budgetary allocations.
- Coordinate, as necessary, with the CMI Program Analyst regarding grantee report submission, use of data related templates, changes in grant timelines and reporting dates, etc.
- Exercise judgment within defined grant procedures and practices to determine appropriate courses of action. Serve as key internal contact for the Initiative, problem solving and consulting with Grants Administration, Legal, Finance, and ECP Program Manager.
- Manage expenditure responsibility and equivalency determination requirements, working with grantees and foundation legal staff.
- Communicate with grantees regarding procedures and grantee relationship management.
Education and Experience
The ideal candidate will have:
- A Bachelor’s degree in a relevant field.
- Minimum of three years of proven work experience in project management and/or administration.

- Ability to work independently, self-manage priorities and goals for projects, meet deadlines, and multi-task while working well under pressure.
