Position

Pacific Environment seeks a full-time Director of Finance & Operations. Our organization is expanding, and the Director will design and execute new processes and put in place new infrastructure to support a growing, dynamic organization with an international team spread across the United States and Asian Pacific region.

The Finance & Operations Director manages Pacific Environment’s financial processes, human resources and benefits, information technology, financial reporting, and regulatory compliance. This position is well-suited for someone who understands that well-run finance and operational activities are the backbone of a successful organization and who will be enthused by the challenge of maintaining smoothly running systems and adapting processes and policies as our organization expands.

Location and Travel

The position is based in our San Francisco headquarters. Our organization is actively reevaluating our in-office requirements and the possibilities of remote work.

Responsibilities

Strategy and Management

  • Supervise or implement daily operations of the organization, including financial, IT, human resources, contracts and vendors, building leases and maintenance
  • Collaborate with and advise the Executive Director/CEO on all organizational matters
  • Develop and implement strategies, procedures, business plans, and policies to enhance organizational health, growth, and impact
  • Manage staff and supervise and implement employee performance reviews  

Finance

  • Lead the organization’s annual budgeting process and completion of quarterly financial reconciliations, financial reporting, annual audit, and submission of all tax forms
  • Oversee accounts payable and accounts receivable, including staff reimbursements, international wires, and grants to partner organizations, often overseas
  • Track grant expenses, prepare grant financial reports for funders, and provide financial information for grant proposals and to expedite tracking
  • Manage banking and vendor relations
  • Process payroll

Operations

  • Manage HR needs, including recruiting and hiring new staff and consultants, onboarding and exiting of staff, consultant contracts, development and updating of employee policies, and compliance with personnel legal and regulatory requirements
  • Manage benefits administration including health and dental benefits, 403b, flexible spending account, vacation and sick leave, other leaves, and workers’ compensation insurance
  • Ensure Pacific Environment meets regulatory and insurance requirements, including in multiple U.S. states and in other countries
  • Oversee technology needs, including computer purchases, IT onboarding and exiting of staff, and troubleshooting technology, phone, and copier issues; oversee our external IT consulting firm
  • Provide general office management, including executing or overseeing the following:  vendor contracting, office cleaning and maintenance, ordering supplies, liaising with building management, processing mail
  • Support the Executive Director in relations with the Board of Directors, including executing or overseeing the following: coordinating, scheduling, and taking minutes for Board meetings (approximately 5 per year); maintaining board rosters and rotation periods; and handling requests by director

Key Qualifications

  • 8+ years of relevant experience and increasing responsibilities in financial and operational management, preferably in a nonprofit setting
  • Demonstrated resourcefulness in improving organizational and finance processes, creating efficient systems, and institutionalizing knowledge
  • Superior abilities in serving and collaborating with a staff of 2-3 dozen team members and outside consultants and vendors; ability to engage on sensitive issues with tact, diplomacy, discretion, and judgment
  • Technological savvy and ability to support staff in a number of remote locations and with varying technological skills
  • Excellent organizational and project management skills, with the requisite attention to detail and quality of work product
  • Experience with Quickbooks or other accounting software 
  • Nonprofit work is demanding and sometimes frustrating:  a sense of humor is a requirement for success
