There are currently two open Coordinator positions available. The first will provide support to Major Gifts and report to an Associate Director of Development. The second will provide support to the Diverse Alumni Communities and will report to the Director for Diverse Alumni Communities. External Relations is a collaborative joint department composed of a fundraising group, an alumni relations group, and an operations group, which work together to build and maintain relationships with Stanford Law School alumni, parents and friends to advance the school’s mission. This is a growing team with several new positions being added this year to enhance the school’s engagement with our alumni and donors and to support the evolving needs of the alumni community. Coordinators play a critical role by providing project and administrative support to gift officers, alumni relations officers, and others, engaging in a wide variety of work. Every day may be a little bit different. 

The highest priority for our Coordinators is in facilitating the field work of our program staff and directors. In this position you will either support development or alumni relations officers in all aspects of their work through a full range of administrative services. For example, you will review and manage calendars for upcoming travel/projects/events and determine actions needed for successful and timely completion. You will be responsible for compiling, tracking and entering in data about alumni and donors through contact reports, event attendance, volunteer engagements, etc. in an effort to help field staff manage relationships with alumni and donors.  Additionally, providing excellent customer service to alumni, donors, and all of our constituents through all mediums, including at events, is a must.

The Major Gifts team is made up of regionally focused field staff who work to build and maintain relationships with Stanford Law School alumni, parents, friends, corporations and foundations to advance Stanford Law School’s mission

The Diverse Alumni Communities team is part of Alumni Relations, which works with alumni volunteers, faculty, students, the Stanford Law School Office of External Relations, and other law school and University colleagues to develop, implement, and evaluate activities, programs, services, and communications that reach, serve, and engage Stanford Law School alumni.
CORE DUTIES (Major Gift Support):

  • Provide project and administrative support.
  • Track budget(s), and process reimbursements.
  • Review and track funds and report on use, as assigned.
  • Assist in the planning, implementation and staffing of events as needed, including staffing registration/check-in for donor or alumni events.
  • Assist in the design, publication and production of external relations materials, for both internal and external audiences in print and online.
  • Build a network of relevant contacts, and stay informed on current university initiatives and activities.
  • Retrieve information about prospects and donors, update records, and generate simple reports using the university external relations database.
  • Track budget(s), and process reimbursements for department.

Core Duties (Diverse Alumni Communities Support):

  • Provide excellent customer service to alumni and others in response to phone, email inquiries, and requests for information.
  • Assist with coordination of programs, event logistics, and registration with staff, faculty, students, and volunteer leaders.
  • Produce and distribute promotional materials in print and online.
  • Assist with tracking expenses, variance reporting, and submitting and paying all purchase requisitions and invoices on a timely basis.
  • Compile and track data about alumni participation and volunteerism.
  • Provide program and administrative support to alumni relations team.
  • Recruit and oversee student workers and temporary/casual workers to assist with clerical tasks such as data entry, errands, and mailings.

Other duties may also be assigned.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED:
Bachelor’s degree (preferred) and one year of relevant experience or combination of education and relevant experience. Work experience in academia or professional office setting preferred.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Demonstrated ability with Microsoft Office suite.
  • Knowledge of database systems, such as Microsoft Access.
  • Ability to work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals.
  • Excellent interpersonal skills and ability to interact with a wide range of people. 
  • Outstanding communication skills and exceptional attention to detail and follow-through.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team to meet expected deadlines and schedules.
  • Excellent customer service skills.
  • Ability to multi-task and prioritize work.
  • Computer proficiency and the ability to learn new systems.
  • Detail oriented

Preferred Knowledge, Skills, and Abilities:

  • Demonstrated experience with office software and email applications
  • Advanced on-line research capabilities.
  • Knowledge of In-Design and Adobe Acrobat Suite a plus.
  • Strong organization skills.

CERTIFICATES AND LICENSES REQUIRED:
Valid California Non-commercial Class Driver’s License.
