Foundation Overview

Alma Domestic Violence Foundation (www.almadvf.org) is a nationally recognized, human services organization committed to “Educate Empower and Celebrate survivors of domestic violence and help them achieve economic and self-sufficiency”. Our vision is to aid in the eradication of domestic violence globally and enlighten the public about its effects. We are in Atlanta, GA and currently seeking an Office Manager to help us eradicate this cause while supporting our rapid growth. Alma Domestic Violence Foundation has served over 3,500 survivors of domestic violence and 45,000 youth worldwide and provides support to over 35 shelters across the United States.  

Basic Purpose of Position

The Office Manager is a multi-faceted role that supports the daily functioning of the Atlanta office.  The individual should have experience in organizing office operations, providing high-level customer service, and strong administrative skills. To be successful in this role, the individual should be proactive, well-organized, have great time management skills and exceptional attention to detail, and be able to act independently with little guidance.  He/she must also be resourceful, possess a compassionate spirit and a cheerful attitude. 

Responsibilities

  • Responsible for the day-to-day functions and fulfillment needs of the Atlanta office. 
  • Maintain office services by organizing office operations and procedures; controlling correspondences; designing filing systems; creating supply requisitions.  
  • Administrative functions i.e. answering phone, calendar management, mail distribution, correspondences, filing, copies, etc.  
  • Establish and implement office systems, layouts, and equipment procurement.  
  • Coordinate maintenance and cleanliness; maintain office supplies inventory; research and establish the best supplier agreements.  
  • Liaise and maintain collaborative relationships with the foundation’s vendors, volunteers, and service providers. 
  • Supports team members on an as needed basis. 
  • Ad-hoc tasks such as but not limited to assisting with implementation of in-house planning or off-site activities. 
  • Research various topics and obtain information as needed. 
  • Ensure the protection of confidential and sensitive information.

Qualifications

  • Associate or bachelor’s degree is preferred 
  • Minimum 3-5 years of relevant work experience 
  • Passion, enthusiasm and support for the foundation’s mission and values  
  • Ability to maintain confidentiality  
  • Effective interpersonal and communication skills including the ability to work effectively with a wide variety of individuals  
  • Some industry knowledge of internal workflow, processes, and paperwork  
  • Ability to work effectively with minimum supervision 
  • Display initiative, strong organizational and planning skills; ability to prioritize between multiple projects 
  • Creative mind with ability to suggest improvements and make recommendations 
  • Proficient in MS Office including Word, Excel, Outlook, PowerPoint and basic office equipment
