Job Details

The Donor Relations Coordinator will support the development team in executing the organization's long-term strategic donor development plan.

Primary responsibilities will be managing the gift entry and acknowledgment process, implementing, and supporting donor outreach efforts, and managing communications and relationships with donors, sponsors, foundations, and partners.

This role will work closely with the finance team to prepare budgets, manage deposits, and monitor donations. They will also work with the CIS of Atlanta CEO, the Development Director, and the Director of Marketing & Communications to develop and execute communication and engagement strategies with donors.

The Donor Relations Coordinator can expect to be involved in data entry and analysis, donor communications, and providing analytical data and research to the development team (and other CIS of Atlanta functions: i.e., Finance, Marketing / Communications, etc.) so they can successfully execute the strategic development plan.


This role will report to and work under the direct supervision of the Development Director and is expected to work closely with the development team. As a result, skills such as communication, database management, time management, and teamwork are needed.

The goal of the Donor Relations Coordinator will be to support:

Salesforce administration effective processing of all donations a data-driven fundraising strategy to cultivate and enhance meaningful and engaged donor relationships efficient communications with donors

Key Responsibilities:

Ongoing management of the strategic fundraising plan, which includes:

Maintain and Analyze Salesforce Database

Oversee a portfolio of existing individual donors and identify new prospective donors to cultivate, solicit, and steward. Use Salesforce database system to record donations and generate associated correspondence. Maintain grant and donor records so they include appropriate personal information and accurate donor and communication history of engagement with the organization. On an as-requested basis, query and generate reports that establish if fundraising activity is on-track, provide updates to staff and Board leadership, and identify opportunities for additional fundraising. Based on relationship-based metrics determined in conjunction with the Director of Development and the fundraising staff, develop reports that will track activity and progress across constituency groups, including foundations, corporate sponsors, and individual donors. Maintain and safeguard established data collection and entry procedures for grants and donation activities, ensuring accuracy of records. Regularly execute database clean-up and update activities to ensure the accuracy needed to support a data-driven fundraising program. Analyze giving information to recommend prospects to the Director of Development and CEO for qualification, cultivation, and/or stewardship to increase donor support.   Manage individual gift acknowledgement and other stewardship and recognition efforts. Support Marketing & Communications Director with tracing, tracking, and reporting of peer-to-peer giving campaigns like Giving Tuesday/Georgia Gives Day. Assist with reporting in-kind sponsorship donations Assist with preparation of financial progress reports for Board Meetings, Annual Report, Third Party Fundraising, Sponsor updates, and Yearly Audit. Advise staff on best practices for donor management, and ensure that data entry, including gifts, is accurate and consistent. Run bi-weekly reports on incoming donations and present to development team. Process all incoming cash, checks, and online donations and correspondence with donors. Support preparatory tasks for accounting and audit. Additional responsibilities include but are not limited to:

Work with the CEO, Director of Development, and the Development Committee to establish and maintain effective relationships with foundation, corporate, and individual donors and to personally solicit gifts, as needed. Support the fundraising efforts of the CEO, the Board of Directors, the Development Director, and key staff. Help analyze, manage, coordinate, and cultivate stewardship activities. Respond to standard email and phone requests for donation information. Work with the Development Director to ensure donors receive high-quality follow through and that all sponsorship benefits are successfully implemented.  Provide general office administrative support, including preparation of correspondence, data input, filing, and other duties as needed.
