General Position Summary

The Administrative Assistant/Receptionist is a full-time position. This individual works closely with a wide range of staff and reports to the Operations Manager.

The Administrative Assistant/Receptionist position is vital to the everyday operations of NWSDHH. The individual in this role acts as the main point of contact for families, visitors, representatives of schools/districts that NWSDHH has established relationships with, and the deaf community at large. The Administrative Assistant/Receptionist provides a high level of support to all staff members through a variety of channels on a daily basis. 

Duties and responsibilities  

Reception/Front Desk (50%)

  • Bring a joyful, professional presence while building strong relationships and rapport with individuals who visit or call the school
  • Participates in maintaining the safety and well-being of students and staff
  • Answer phones and take messages
  • Greet and assist all visitors and students
  • Coordinate district transportation for students 
  • On occasion, assist students with loading/unloading from buses before and after school each day
  • Assist staff with communications to families throughout the day (i.e. calls to parents/guardians for sick/injured children, etc.)

Administrative Assistant (50%)

General School Operations Support

  • Provide administrative support as requested by Operations Manager in support of school administration and all school programs
  • Provide basic administrative support for routinely scheduled office operations (for example copying extra pay sheets and inventory/order school supplies, textbooks etc.)
  • Coordinate student supplies list
  • Update and maintain school documents including family, staff and district rosters 
  • Coordinate and schedule meetings with Districts, NWSDHH and parents/guardians as needed for IEP’s and other meetings throughout the school year
  • Mail and file report cards and IEP’s
  • Coordinate scheduling of interpreters (Spanish, ASL, etc.)
  • Assist with Snow Day Procedures
  • Provide support for school events
  • Provide support for school communications, including coordinating weekly Dolphin Delivery
  • Maintain student files 
  • Assist with keeping staff room and office supplies organized and maintained (including mailboxes, paper, pens and storage closets)

Facilities Support

  • Vans- manage schedule for use, review maintenance requests and schedule appointments for vans
  • Assist with planning space and set up for special events held at NWSDHH
  • Serve as backup for Facilities requests as needed  

Required Experience and Skills:

- Experience in a reception/multi-line phone system setting.

- Experience in a high-volume intake location

- Ability to carry oneself in a professional manner and maintain confidentiality at all times

- Ability to manage time and prioritize workload effectively

- Understanding of appropriate response times to inquiries from families, staff, etc. 

- Excellent verbal and written communication skills

- Ability to work well with others and facilitate open communication with a team focus

- Flexibility, problem solving, critical thinking and ability to adapt to variable situations

- Proficient in use of Microsoft Office Suite

Preferred Experience and Skills:

-Spanish and English fluency

-Basic Sign Language skills or willingness to learn, preferably Signing Exact English (S.E.E.)

Position Details:

This position is year-round, full-time (40 hours/week). The position is based in-person on our Shoreline campus with rigorous Covid-19 protocols in place. 

Salary & Benefits: $34,000 - $38,000 annually. Very generous paid time off, health/dental/vision benefits, retirement matching contribution and free parking.
