Volunteer and In-Kind Program Coordinator

Organization Type: Non-Profit, Faith-Based, 100+ Employees

Position Type: Full-Time; Salaried Exempt

Department: Development

Reports to: Development Manager

Hours: 40 hours per week; includes occasional evenings and weekends

Position Summary: The Volunteer Program Coordinator is responsible for the leadership and strategic execution of all Wellspring Living volunteer services. This role collaborates across program coordinators and enrichment coordinators to ensure volunteers are effectively mobilized to meet program and organizational objectives. This position also oversees the in-kind donation efforts for the organization.

Responsibilities (include but are not limited to):                                                                                                                

Volunteer Coordination

  • Oversee all Wellspring Living volunteer program activities, including recruitment, registration, training, assimilation, management, retention, and data collection of services
  • Collaborate closely with enrichment coordinators and others with volunteer related responsibilities within each respective program
  • Collaborate across the leadership team to develop and implement systems that improve the effectiveness of the volunteer program
  • Evaluate and develop volunteer performance at the individual and group level, cultivating high potential candidates for volunteer leadership roles
  • Develop and maintain volunteer program policies and procedures, including oversight of volunteer onboarding and training
  • Partner with Development to create, update, and distribute all volunteer communications, recruitment initiatives, and collateral
  • Assist Development with creating and implementing strategies to increase volunteer giving, service, advocacy, and retention
  • Acquire, train, manage, and follow up with volunteers for fundraising events, serve days, and other group volunteer projects
  • Serve as the first point of contact for volunteer inquiries, receiving and responding to incoming calls, website inquiries, and emails from potential volunteers
  • Ensure proper records for volunteers are produced through the online application process including background check, training requirements, and other needed information
  • Oversee proper management of volunteer data for records, analysis and reporting
  • Develop and complete an annual evaluation of the volunteer program
  • Ensure the confidentiality of all classified program and participant information through clear communication with volunteers and proper documentation
  • Develop and implement volunteer appreciation initiatives
  • Partner with program staff to coordinate, and occasionally facilitate, group volunteers on serve day projects

                 

In-Kind Donations

  • With support from Enrichment Coordinators and Logistics Program Coordinator, lead the in-kind donations efforts for programs and support overall organization in-kind priorities
  • Maintain up-to-date, prioritized needs list for each program
  • Manage receipt, documentation, and distribution of in-kind donations
  • Create and maintain various wishlists (Amazon, Purposity)
  • Oversee and communicate in-kind processes and procedures
  • Manage Christmas gift giving to involve planning, collaboration with programs, partnering with internal teams, working with external partners and donors, receiving, documenting, and distributing gifts to programs
  • Actively seek out new partnerships to increase the in-kind donation pipeline while simultaneously working to steward current partners

Professional Qualifications:       

  • Administrative, organizational, and computer skills including use of email and Microsoft Office suite of products
  • Documentation of references (at least two professional and one personal) that attest to the person’s capability of performing the duties of the position and to the person’s suitability of working with or around children and vulnerable populations
  • Bachelor’s degree, preferably in a related field of study
  • Minimum 5 years of related experience, including working with and coordinating volunteers on a large scale, preferably for a nonprofit organization
  • Demonstrated success in recruiting, retaining, organizing, growing, and maintaining volunteers to serve organization needs
  • Experience preferred in successfully securing relevant, impactful in-kind donations

Position Requirements:                

  • Moderate travel to Wellspring Living and other locations around the Metro Atlanta area
  • Must be able to lift objects up to 25 pounds and have the ability to work for long periods at a computer
  • Satisfactory criminal history background check
  • Clean Motor Vehicle Record
