Position Summary:


Manages donor relations databases and serves as the key Raisers Edge resource for the organization.  Monitors and troubleshoots issues related to the database and works collaboratively to identify solutions to maintain its integrity.  Responsible for preparing reports, generating lists and analyzing donor relations results. Conducts research to identify major prospects and prepares comprehensive profiles for use by the Donor Relations team to build relationships with potential donors in the community. Responsibilities also include direct interaction with donors and prospects.

Essential Duties & Responsibilities:

Position Functions:

Database Management:

  • Raisers Edge (RE) Site administrator
    • Creates, maintains, and updates existing records (and research) in the database, including biographical information
    • Establishes standards for data integrity in RE in coordination with Information Systems & Technology team.
    • Responsible for regular data improvement and hygiene
    • Manages procedures for use of RE and Blackbaud Net Community (BBNC)
    • Optimizes the use of RE across the organization
    • Identifies gaps and inconsistencies in data management
    • Develops procedures and processes for information input, output, and storage
    • Develops coding systems/tables in RE
    • Develops methods to efficiently produce reports from the database
    • Recommends RE roles & security rights for KZCF staff
    • Ensures DR team has proper training in RE, consistent with training plan
    • Provides technical assistance to end users throughout organization
    • Manages on-line registrations and relationships in “Kalamazoo Connect”
    • Establishes Kalamazoo Connect user “roles” and security
    • Ensures DR team has proper training in Kalamazoo Connect, consistent with training plan

Donor Relations Research & Other Duties:

  • Conducts research and produces research reports by interpreting biographical and financial information on individuals using electronic and hard copy resources
  • Identifies potential donors who might benefit from developing a relationship with the Community Foundation 
  • Provides regular summaries of Donor Relations activities, relationship building efforts and outcomes.
  • Compiles data for Donor Relations scorecard
  • Reviews donor relations and scholarship surveys and analyzes results
  • Drafts policies, methods and forms to provide standardized operating procedures for the research area
  • Tracks new prospects and Donor Relations activities
  • Develops and implements an on-going plan to identify prospective donors (e.g., individuals, companies)
  • Purchases, updates, and maintains research materials
  • Keeps abreast of cutting-edge technology that will enable the Community Foundation to identify top prospects effectively and efficiently
  • Audits gift receipt process (when not serving as back-up gift processor)

Marketing Data Liaison

  • Provides donor data tracking & coding for Marketing Communications
  • Develops audience profiles and segments data within database
  • Pulls mailing and email lists for marketing needs
  • Reports on marketing data

Knowledge, Skills & Abilities:



  • Bachelor’s Degree or an equivalent combination of training and relevant work experience
  • Two to four years of hands-on information management experience with a CRM software program, preferably Raisers Edge
  • Ability to work full-time, including evenings
  • Deep understanding of both theory and practice related to racial justice/racial equity
  • Deep personal commitment to addressing racism, with an orientation toward the Kalamazoo community
  • Excellent verbal and written communication skills including ability to analyze data 
  • Advanced computer skills including spreadsheet applications
  • Excellent analytical and organizational skills
  • Must be able to work both independently and as part of a team


  • Research experience in development, academics, library work or paralegal work
  • Knowledge of research resources and methods



Location Requirements:

  • The Kalamazoo Community Foundation’s employee health and safety is a top priority.   • Must be able to sit for long periods of time.
  • Able to stoop, bend and move intermittently to do filing and move equipment and supplies necessary for job function.
  • Involves frequent repetitive movement associated with extended periods of keyboarding.
  • Frequently involves extended workdays and periodically involves irregular work hours.
  • Occasional travel and/or overnight work schedules.
  • Requires attention to detail and ability to concentrate on figures, paperwork, data, etc.
  • Frequent pressures related to meeting deadlines and fulfilling scheduling requirements.
  • Frequent distracting influences such as people, phone calls, noise and so forth.
  • Frequent simultaneous handling of multiple tasks and intermittent or cyclical work pressures.
  • Occasionally requires on-call availability to handle work problems, emergencies/crisis situations etc.
