MISSION STATEMENT

BASIC FUNCTION:                       

The controller is responsible for the day-to-day operation of the business office and the financial reporting and budgeting functions.

QUALIFICATIONS

SPECIFIC RESPONSIBILITIES

A.         Supervise general ledger functions.

B.        Supervise University payroll functions.

C.        Supervise the accounting functions for annuities.

D.        Prepare monthly financial statements and balance sheets as well as any

            other reports, or analyses that may be requested.

E.         Prepare and maintain budgets.

F.         Supervise the use of Jenzabar/Quickbooks software with respect to Business Office functions.

G.        Coordinate state and federal tax reports, including Form 990

H.        Monitor cash flow and manage short-term investments.

I.          Monitor endowment and other long-term investments.

J.         Coordinate the annual independent audit.

K.        Oversee business office functions and supervise business office staff.        

L.         Maintain software and technology skills.

M.        Attend professional development workshops and/or maintain CPA certification.

N.         Work with the Vice President for Operations, the President, other University personnel, and                             students, as necessary in the fulfillment of the above responsibilities.      

O.         Maintain professional financial relationships with Banking partners.

A1.      Supervise the staff in the following general ledger functions:

            accounts receivable

            accounts payable

            student accounts

            staff and student payroll

            all other accounts

  2.       Review aged trial balances and report of potential bad debts monthly to ensure that collections are                current and properly recorded.

  3.       Review the cost center report monthly to ensure that all expenses were properly recorded. 

  4.       Analyze the trial balance monthly to determine that all accounts have the proper balance and that all              transactions have been properly processed.

  5.       Perform quarterly audits of accounts.

  6.       Reconcile monthly all gifts recorded per the general ledger to the advancement office records.

  7.       Coordinate approval of loans with Financial Aid Director. 

  8.       Maintain all records and make all journal entries with regards to graduate degree loan program.

  9.       Supervise the matching up of checks with invoices and mailing them to the vendors on Thursday of               each week, and preparing copies of each for filing.

 

B1.      Provide the Vice President for Operations and the President accurate monthly financial statements,                balance sheets, and cost center reports by the fifteenth of the following month.

  2.       Provide additional financial analyses on a timely basis as requested.

B1.      Manage Annual Budget Process.

  2.       Work with the budget council, Vice President for Operations and the President, Cabinet and departments to prepare an annual budget.

  3.       Maintain the budget in the Jenzabar/QuickBooks system and on monthly reports.

  4.       Work with University staff in monitoring departmental budgets and holding department heads                          accountable to budgets throughout the year.

  5.       Keep the budget council and the vice president for operations informed of budget status.

  6.       Keep current on budgeting methods.

C1.      Stay up-to-date on the Jenzabar system/QuickBooks, as to its capabilities and compliance with                      NACUBO and FASB changes.

  1. Attend Jenzabar/Quickbooks user group meetings as appropriate.

D1.      Prepare and/or review all state and federal tax reports each year. 

  2.       Assist financial aid in the preparation of the FISAP each year.  (This is due October 1.)

  3.       Review the 1099's prepared by the accounts payable clerk and filed by January 31      

            each year.

  4.       Prepare the Form 990 each year.  (This is due October 15)

  E1.     Provide the Vice President for Operations and the President a monthly report on cash flow

2.       Maintain reports of actual cash flow.

3.       Provide analysis of cash flow for the finance committee and others as appropriate.

4.       Monitor and manage short-term cash investments and/or borrowing.
