Overview

The VIP Coordinator reports to the Executive Director of United Way VIP. The Coordinator will play an integral role in the success and continued growth of VIP and boardDigest. They will work across an array of audiences and constituents to ensure a diverse set of stakeholders are included in the planning, coordination and implementation of our nonprofit board governance trainings. United Way VIP works with community leaders seeking governance training prior to joining the board of directors of a nonprofit organization.

Position Summary

The Program Coordinator is a member of the United Way Volunteer Involvement Program Team and plays a key role in ensuring the United Way VIP and boardDigest are planned and delivered with the highest levels of quality and satisfaction by program participants.

The Program Coordinator is responsible for the overall delivery of assigned work projects. This position ensures a seamless delivery of our leadership development programs which includes project logistics, event planning and delivery, participants’ communication and ongoing engagement; supporting all aspects of program operations (technology, scheduling, expenses, consultants, etc.); overall promotion and marketing of the programs – including all recruitment related activities, programs promotion during and post program.

Key Responsibilities

  • Work in conjunction with the VIP Executive Director to implement member recruitment strategies, including promotion and preparation of all adequate marketing materials.
  • Assist in planning, coordination and convening VIP and boardDigest meetings.
  • Ensure timely, proactive and ongoing communication and engagement with program stakeholders.
  • Manage program content preparation – creating rosters, brochures and other appropriate documentation.
  • Responsible for all aspects of event management (planning and delivery), purchasing supplies and shipping, printing and production of event materials.
  • Responsible for managing and coordinating all the logistics and technology for delivering online meetings with program participants.
  • Process program expenses, invoices, and check request to ensure accurate budget tracking;
  • Create content for monthly newsletter.
  • Ensure all graduate contact information is included and updated in CRM, including board placement.
  • Maintain social media groups to secure ongoing relationship building and networking beyond program life cycle.

Qualifications & Expectations

Qualifications

  • Bachelor’s Degree preferred with five years of related experience; or a combination of education and experience.
  • At least five years of experience in an event planning, project management and coordination, logistics planning and managing, or similar role. Excellent customer service experience to ensure participants have great learning experiences and the successful delivery of program requirements.
  • Must be able to adjust schedule and/or work overtime for program in-person events (most events/travel are during business hours; however, there are many events/travel that begin early morning and go through early evening, with occasional events/travel on weekends).
  • Demonstrated experience working with all levels of internal management and staff, as well as outside clients and vendors.
  • Experience in managing projects, talent management and leadership development programs is preferred.
  • Experience using systems and tools such as Microsoft Office Suite, Google Suite, Zoom.
