Position Title: Office Manager Classification: Non-exempt salaried; full-time (40 hours per week)

Location: Niroga’s office, 111 Fairmount Ave. Oakland, CA 94611

Salary:Competitive salary. From $55k and up commensurate with experience; includes health care.

POSITION SUMMARY: The Office Manager is responsible for managing office operations and administering of other organizational processes. In collaboration with our Executive team, the Office Manager supervises our central office team to provide accounting, administrative and operational support to Niroga’s contract customers in areas including accounts receivable, program support, inventory, shipping and receiving, and also for on-line sales and donor tracking.

RESPONSIBILITIES:

Finance/Accounting

•Oversee the management of contracts, accounts receivable and accounts payable by ensuring that invoices and client payments are processed in a timely fashion and vendors are paid accurately.

•Oversee monthly reconciliation of bank statements, credit card statements, income statements, and expense reports. Produce monthly financial reports for Niroga’s Board Finance Committee.

•Ensure accuracy of Quickbooks accounting system; maintain Chart of Accounts; allocate costs among classes.

•Coordinate annual audit with auditing firm.

Human Resources

•Run payroll and payroll taxes; administer HR and Health enrollment procedures.

•Ensure on-time and accurate quarterly and annual tax filings

•Prepare annual 1099’s for contractors and W-4s for employees.

•Maintain staff files securely; track all vacation, sick, and other leave.

•Ensure that organization-wide HR policies are in place and clearly communicated

•Oversee On-boarding new employees; Update and maintain Employee Handbook.Facilities

•Oversee office maintenance, including equipment maintenance, office supplies,

•Maintain organization of all organization files.

General Operations

•Supervise Office staff.

•Determine systems and process to streamline and improve efficiency of office operations.

QUALIFICATIONS

•At least 3years managing an office with a B.A. preferably in Accounting or Business Administration.

•Strong written and verbal communication skills.

•Detail-oriented with excellent organizational, planning, and problem-solving skills.

•Self-driven with entrepreneurial spirit and the ability to complete tasks efficiently.

•Ability to work effectively, both independently and as part of a team.

•Skilled with QuickBooks on-line, yearly Auditing requirements and basic accounting principles particularly non-profit accounting.

•Knowledge of double entry accounting, internal controls, and bookkeeping best practices.

•Advanced proficiency in MS Office Suite. Ability to learn new systems and technologies.

•Keen interest in or practitioner of mindfulness, meditation, yoga, and/or other contemplative disciplines.
