Job Details

GOAL:  Under the direction of the Chief Financial Officer (CFO), the Staff Accountant will support the general finance, accounting internal control and administrative functions of the organization in accordance with governmental regulations, company policies and generally accepted accounting principles.

REPORTS TO:  Chief Financial Officer

EMPLOYMENT STATUS:  Exempt

SPECIFIC DUTIES:

Duties of the Staff Accountant include, but are not limited to the following:

GENERAL LEDGER –

  • Edit all General Ledger (GL) accounts monthly, or as needed, for accuracy and prepare monthly reconciliation reports as a part of month-end closing. 
  • Record journal entries and other transactions in the GL on an accurate and timely basis.
  • Enter employee credit card receipts in the GL and reconcile each month.

ACCOUNTS PAYABLE –

  • Responsible for all phases of the accounts payable process from collecting, reviewing, reconciling and preparing documents, to entering checks in the General Ledger, posting to the proper General Ledger accounts and collecting receipts. Will be required to set up and maintain vendor files, including filing vendor check copies, creating new vendor files, etc. Will also be required to prepare correspondence and communication with vendors to settle any discrepancies involving invoices.

FINANCIAL REPORTING –

  • Prepare, analyze and interpret financial data and reports in an accurate and timely manner and assist the CFO with the month-end close and financial reporting package.  
  • Prepare departmental expense allocations as part of monthly close.

POLICIES AND PROCEDURES/INTERNAL CONTROLS –

  • Review and update finance policies and procedures under direction of CFO.
  • Ensure accuracy and compliance with Generally Accepted Accounting Principles (GAAP) and CISA accounting policies and procedures.

AUDIT AND TAX FILINGS –

  • Assist in preparing year-end audit schedules and support.
  • Work closely with the CFO to assist with the year-end audit process.
  • Assist the CFO with Form 990 and Form 5500 filings, as needed.

BUDGETING –

  • Work closely with the CFO on annual budget and forecasting activities.

OTHER –

  • Reconcile donor reports to General Ledger.
  • Keep track of usage and balances of all donor specified restricted funds/grants.
  • Prepare bank deposits and deliver deposits to the bank, as needed.
  • Maintain Central Office petty cash.
  • Maintain usage of office in-house credit cards and membership accounts.
  • Travel offsite to pick up checks or other documents, as needed.
  • Provide continuous improvement of operating efficiencies.
  • Attend required CISA meetings, training, etc. as requested by the CFO.
  • Perform such other accounting, financial or administrative tasks as may be required.

QUALIFICATIONS:

  • Bachelors Degree in Finance or Accounting with specialized competencies gained from experience within the accounting field. CPA preferred.
  • At least three (3) years’ experience in financial management including financial reporting, budgeting, and cash management.
  • High level of competency in all areas of accounting.
  • Computer software proficiency to include QuickBooks accounting and other accounting software, Excel spreadsheets and word processing.
  • Excellent written and verbal communication skills.
  • Able to work independently, meet deadlines, prioritize tasks, and perform as an effective team member.
  • Ability to analyze, prioritize activities and work independently without constant supervision.
  • Ability to maintain integrity and confidentiality.
  • Nonprofit experience a plus.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to sit. The employee must occasionally lift and/or move up to 30 pounds.
