We seek a new Coordinator of Special Events and Community Engagement that displays persistence, an outgoing personality, tenacity, a strategic mindset, proficient project management and organizational skills, flexibility, and a sincere willingness to wear all hats to get the job done.

The Coordinator must be a strong written and verbal communicator, comfortable picking up the phone and calling a potential sponsor or vendor, detail-orientated, high energy, and passionate about the Atlanta RMHC mission.

Job Purpose:

The Coordinator of Special Events and Community Engagement is integral to the success of Atlanta Ronald McDonald House Charities (Atlanta RMHC) and plays a vital role in advancing the goals of the Development Department.

This position reports directly to the Senior Director of Special Events and Community Engagement to help ensure all events and community engagement initiatives are successful and goals are met. This position will focus on the management and execution of assigned aspects for all special events, provide support to the Senior Director for signature annual events, and support community fundraising initiatives.  

This position plays a critical role in coordinating, executing, and growing  signature events and community fundraisers. This position plays an event support role for the Red Shoe Society, peer to peer and community fundraising, and all 3 signature events – Golf Classic, Handbag HULLABALOO! and Hearts and Hands Gala working to ensure ARMHC is following special event best practices.

Qualifications and Job Requirements:

  • Bachelor’s Degree in non-profit management or related field such as communications, public relations, marketing or business. Three to five years of proven experience within the non-profit sector in the area of fundraising is preferred. Experience with special events is required.
  • Exceptional project management skills with strong ability to manage multiple projects and meet multiple deadlines.
  • Excellent writing, editing, and presentation skills.
  • Ability to take direction and work independently.
  • Strict attention to detail is required.
  • Ability to think creatively and to take initiative in growing our special events and community engagement portfolio.  
  • Polished in managing the expectations of leadership, management, colleagues, and external stakeholders.
  • Experience managing, inspiring and leading volunteer event committees with demonstrated successful outcomes a plus.
  • Experience with donor stewardship activities, and ability to build and strengthen existing relationships and secure new event sponsors. Must be comfortable initiating and maintaining conversations with prospective supporters (cold calls, e-mails, letters).  
  • Financial management skills, including experience creating and managing special event budgets.
  • Project management skills are critical.
  • Excellent computer skills and knowledge of Microsoft Office Suite with strong ability in Excel and PowerPoint; Experience with Raiser’s Edge or other donor databases is a plus.
  • Ability to work evenings and weekends as needed, to execute events and reach goals.
  • Possess the following characteristics: compassion, tact, honesty, trustworthiness, flexibility, and professionalism.
  • Familiar with donor databases such as Blackbaud as well as fundraising platforms such as GiveSmart, BidPal or the like.
  • Writing web copy and ability to make basic web updates a plus.
  • Must be excited about serving as a liaison internally and externally.

Duties and Responsibilities:

Special Events

Brookhaven Tour of Homes/Dines-In  

  • Lead the planning and execution of our annual events in the Historic Brookhaven community.
  • Responsible for sponsorship and ad sales for the event program.
  • Create and manage event budget.
  • Create and manage the mailings and outreach strategies.
  • Creation of communication plan to promote event and oversee creation of collateral materials.
  • Manage volunteer event committee and attend committee meetings.
  • Steward event sponsors.
  • Solicit for restaurant donations.

Golf Classic, Handbag HULLABALOO! ™, and Hearts and Hands Gala

  • Plays a crucial role in the planning and execution of 3 annual signature events.
  • Builds and manages sponsorship and budget tools and spreadsheets.
  • Create and manage the mailings and outreach strategies.
  • Work with marketing team to ensure accurate and updated website pages for events and to create social media calendars and plans for each event.
  • Order collateral materials and marketing/promotional items.  
  • Solicit and track auction items with committees.
  • Executes portions of the solicitation strategy.
  • Build host/planning committee agendas, schedule committee meetings, take clear meeting minutes and action items for committee members and colleagues with the end product displaying correct grammar and clarity.
  • Serves as point of contact for event committees when the Sr. Director is unavailable.  
  • Manages contracts and vendor agreements.  
  • Schedules site visits, tastings, photo shoots, meetings, etc.
  • Creates and sends all invoices.
  • Designs the event pages for registration and day-of items through GiveSmart.
  • Works with Marketing/Communications team in partnership with Senior Director of Special Events and Community Engagement.
  • Assists Senior Director in project planning

Community Engagement

  • Creates peer-to-peer fundraising platforms for community members using platforms such as GiveSmart.
  • Builds new connections with community members.
  • Supports Senior Director in research and outreach to new community supporters.
  • Assists with community engagement presentation prep.
  • Serves as contact for Red Shoe Society event support.

Other

  • Supports special event needs internally (board meetings, donor/stewardship events, volunteer appreciation, CEO fireside chats, etc.). 
  • Works closely with Marketing/Communications and Data/Finance teams.
  • Local travel in a 100-mile radius to attend meetings and events as needed.
  • Attend monthly Development team meetings and report on activities.
  • Enters contact reports, notes, activities, opportunities and other data in Blackbaud.
  • Requires some weekend and evening work outside of traditional business hours of M-F from 8am-5pm.

Physical Demands

Maintain an office within Administrative Offices of ARMHC. Near visual acuity essential for reading. Talking and hearing essential for communication.  

Reporting Responsibility

The Coordinator of Special Events and Community Engagement reports directly to the Senior Director of Special Events and Community Engagement of Atlanta Ronald McDonald House Charities and is evaluated annually.
