Job Title: Early Head Start Administrative Coordinator 

Department:   Child Care Resource and Referral 

Supervisor:      Early Head Start Project Director  

Salary: Based on experience – Salaried, Exempt 

Position Summary

Perform the duties required to monitor activities conducted within the Quality Care for Children Early Head Start for Family Child Care program and assure that all compliance mandates as defined by the Head Start Performance Standards are met. 

Specific Responsibilities: 

  • Establish and maintain ongoing supportive relationships with the Early Head Start staff and Family Child Care providers 
  • Collect data and generate regular reports 
  • Track and maintain up-to-date data using the Child Plus software system 
  • Develop processes for technology related training and develop manuals and materials as needed 
  • Maintains strict confidentiality with respect to EHS children, families, and staff in accordance with QCC and EHS policies and procedures 
  • Prepare program information and required correspondence and reports 
  • Maintain hard copies and/or computer files of materials 
  • Work as part of the Head Start leadership team in long and short-term planning for Early Head Start 
  • Assist in the creation of procedures, documents, and other systems to maintain compliance with Early Head Start Performance Standards 
  • Other duties as assigned 

Qualifications: 

  • Bachelor’s Degree or experience equivalent in Administration, HS/EHS, and Family Child Care along with at 5 years experience working in a non-profit, early childhood agency 
  • Ability to communicate professionally both orally and in writing 
  • Demonstrated knowledge of Head Start and other regulations regarding data collection 
  • Able to plan and facilitate meetings and trainings 
  • Excellent computer skills 
  • Experience in troubleshooting web-based data management systems 
  • Able to work independently and as a team member 

Teamwork & Professionalism: 

  • Participates as an active and responsible member of QCC 
  • Demonstrates a belief in the Vision and Mission of QCC 
  • Has a good attendance record and reports to the director when planning to be absent 
  • Follow QCC and HS requirements 
  • Maintain a professional appearance and conducts self in a professional manner at all times 
  • Is a willing learner and accepts constructive criticism 
  • Display energy and enthusiasm in performing the FSC job 
  • Answer the telephone in an enthusiastic and helpful manner 
  • Attend workshops planned by QCC, BFTS, and HS as required
