 The Deamer Group is currently in search of an Administrative Assistant for a Faith-based Nonprofit client located in Atlanta, GA. If you are detailed self-started with strong communication skills then we want to talk to you. This is a full-time, temp to perm assignment. Position Summary
The Administrative Assistant provides operational and project support to the Chief Financial officer and the Chief Administrative officer. They also provide organizational support by answering incoming calls, sorting and delivering mail, and interacting with staff, vendors, and other stakeholders. S/he will also provide support to the organization's team by setting up meetings, assisting with presentations, entering data, and providing customer support. This role will report to the Project Manager.

Qualifications

  • 2+ years of experience as an administrative assistant or similar role
  • Bachelor's degree required
  • Proficient using Microsoft Office Suite
  • Strong written and verbal communication skills
  • Experience answering and transferring inbound calls and taking messages
  • Demonstrated ability to multi-task and meet deadlines while managing competing priorities
  • Excellent attention to detail
  • Solid track record of sound judgment and resolving problems


Organizational Responsibilities

  • Answer and transfer incoming calls to appropriate team member, check voicemails
  • Assist with scheduling, room reservations, and various administrative projects
  • Process incoming and outgoing mail,
  • Provide support for committee meetings including managing scheduling and invitations, Zoom logistics, tracking RSVPs, assisting with PowerPoint presentations, and preparing meeting minutes
  • Assist team with donor mailings
  • Data entry and creating lists from database for mailings and other projects
  • Contact vendors to service office equipment
  • File, scan, and order supplies as needed
  • Maintain confidentiality of all donor information
  • Other duties as assigned

CFO/CAO Responsibilities

  • Complete a broad variety of administrative tasks and special projects for the CFO/CAO
  • Assist the CFO/CAO with organizing and prioritizing the daily workload
  • Assist in following up on open items to resolution
  • Communicate directly, and on behalf of the CFO/CAO, with internal and external partners and stakeholders
  • Provide support for committee meetings: manage scheduling and invitations, room and food logistics; check calendars, track RSVPs, follow up with non-responders, prepare agendas, etc.
  • Attend meetings, take minutes, and review them with lead professional prior to distribution
  • Gather financial reports and data for Board, Finance & Administration meetings, and Federation leadership from various team members as needed
  • Create spreadsheets, documents, and PowerPoint presentations as needed for Finance and Administration Committee and Board Meetings
  • Coordinate with lessors and attorneys regarding lease terms and drafting leases, review vendor contracts and MOUs for key terms with guidance from the CFO/CAO
  • Other duties as assigned
