The Backbone Team serves as a catalyst to unify and convene the Partners. We work in the space between systems to connect multiple entities into a seamless network of student and family support. We are process experts trained in results based accountability, continuous improvement, complex systems change, equity, research, business operations, project management, communications, data strategy, human centered design and group process facilitation.

The backbone team supports the Partnership’s governance bodies - the Leadership Team, Youth and Family Council and the Board -  as well as multiple Action Teams networks focused on eliminating disparities at each Milestone and across Milestones. They report progress towards these milestone goals as well as support teams in identifying what intervention strategies are working to close the equity gaps. They encourage collective learning and continuous improvement.  The backbone team is the “connective tissue” that holds the Partnership together and enables the educational equity eco-system to function more effectively and efficiently. Coordinator of Partnership Operations Overview: 

As the Backbone Team enters its second year operating as an independent nonprofit and the Partnership turns 9 years old, the Coordinator of Partnership Operations will work to ensure that both Partners and backbone staff experience high quality administrative support to reach their goals.

In their Partner-facing role, the Coordinator of Partnership Operations will serve as the lead logistics planner for 3-4 Action Teams and Partnership-wide events, working closely with Backbone Team Directors to execute effective collaboration experiences for partners. In doing so, they will oversee the scheduling and planning processes for these Action Teams and Partnership-wide events, and ensure high quality in-meeting support (including technology, note-taking support, and synthesizing of action steps).

In their Backbone Staff-facing role, the Coordinator of Partnership Operations will work closely with the Director of Data and Operations to manage daily operation functions including office & inventory management, expense tracking & processing, HR and financial data entry, and other recordkeeping duties. This position will be in-person 5 days / week, and while the majority of their time will be spent at the Partnership meeting center in San Rafael, they will occasionally need to visit Partner sites across Marin; as a result, access to a reliable vehicle is necessary.

Job Responsibilities:

Backbone Staff Administrative Management (55% of role):

  • Provide administrative support to Action Team Directors, including calendaring, managing expense reports, booking travel, drafting communications, and coordinating meetings. Serve as lead administrative support to:
    • Marin Educators for Equity Initiative (MEEI)
    • Early Childhood Education action teams
    • Marin Promise Partnership’s Antiracism Initiative
    • Partnership-wide convenings

 

  • Emerging partnership initiatives, including Digital Divide and Summer Promise+
  • Develop and maintain Action Team calendars, timelines, and meeting logistics
  • Work with Action Team Directors and Director of Data and Operations to coordinate the technology & space necessary to conduct hybrid meetings, if needed
  • Maintain meeting records within the Google Drive filing system, including collecting RSVPs, tracking attendance, and taking meeting notes Provide professional meeting materials with direction from Action Team Directors (e.g., slides / handouts)

Office Management & HR / Finance Administrative Support (45% of role):

  • Develop and maintain office space to be welcoming, warm, and viewed as a Partnership resource 
  • Manage scheduling of Partnership Conference Room
  • Manage kitchen area, inventory of snacks/beverages and any meals provided
  • Serve as point person with building owner; oversee the maintenance and repair of office equipment
  • Order and maintain office inventory
  • Serve as primary contact for HR and Finance vendor relationships; ensure timely execution of tasks necessary for vendors to complete their HR and Finance functions
  • Troubleshoot back-office administrative challenges, designing solutions for CEO and Director of Data and Operations to consider implementing
  • Monitor invoices, money handling procedures, accounting, and bank processes
  • Provide administrative support to the Director of Data and Operations including calendaring, managing expense reports, booking travel, drafting communications, and coordinating meetings.

Qualifications:

  • BA in business administration or related field, or 2+ years as an executive / administrative assistant
  • Experience working in a distributed organization 
  • Experience working or volunteering in a collective impact, coalition, educational setting or network-building organization is highly desirable
  • Motivated to develop financial fluency with payroll, invoice, and basic accounting functions
  • Experience working or living in Marin County is highly desirable
  • Humility, courage, compassion, and a dedication to equity
  • Ability to use Google Drive (Docs, Slides, Sheets), with comfort and skill in creating presentations
  • Ability to write and speak in Spanish preferred
  • Reliable transportation to attend meetings throughout Marin County
