The Rheumatology Research Foundation was founded by the ACR in 1985 as a 501(c)(3) charitable organization. The ACR and Foundation have a management agreement, whereby the ACR provides the Foundation with a variety of management services, including staffing, access to and use of computer and other equipment and appropriate space at the ACR's Executive Office.

POSITION DESCRIPTION

TITLE: Senior Specialist, Expositions & Sponsorships

STATUS: Exempt

LEVEL: Senior Specialist

DIRECT SUPERVISOR: Director, Expositions & Sponsorships

POSITION DESCRIPTION SUMMARY:

The Sr. Specialist, Expositions & Sponsorships is primarily charged with developing, overseeing, and implementing expositions and sponsorship projects as they relate to external entity and third-party communications, sponsorships, Innovation Theater, industry-supported symposia, affiliated events, and exhibits. The Sr. Specialist is responsible for generating $1.2M of a $5M+ budget annually.

DUTIES & RESPONSIBILITIES:

  • Oversee and manage the Annual Meeting Industry Supported Session Program, including the industry-supported symposia and Innovation Theater. Duties include but are not limited to: 
    • Revenue responsibility for these programs is approximately $1,000,000
    • Oversight of the guidelines, organizer materials, online submission site
    • Serve as main staff liaison to third party organizers and commercial supporters
    • Oversee the application and proposal process
    • Conduct the administrative review of programs
    • Website and print communications and updates
    • Development, management and on-site oversight of the ISS Booth and Innovation Theater
    • Responsible for tracking evaluations and budget impact of these programs
    • Develop and initiate new marketing strategies to ensure effectiveness
    • Annual closeout of the program, e.g. successful organizer reporting of outcomes and creation of final report for the Committee on Corporate Relations
    • Maintain accurate records to ensure timely invoicing and payment processing
    • Continued evaluation of programs with an aim to update as necessary to ensure increased and continued success
  • Oversee and manage the industry presence at ACR Professional Meetings, which includes exhibits, industry-supported symposia, Fellows and Training sponsorships and general sponsorships, for meetings including Winter Rheumatology Symposium, State-of-the-Art Clinical Symposium, Pediatric Rheumatology Symposium, and Rheumatology Research Workshop.
    • Revenue responsibility for these programs is approximately $200,000
    • Liaise with staff leads for professional meetings to ensure a cohesive event for corporate supporters and awareness of corporate presence at these events
    • Develop annual opportunity prospectus for corporate supporters
    • Conduct all administrative reviews of applications, sponsorships, and ensure compliance with ACR guidelines
    • Staff liaison to third party organizers and corporate contacts regarding these programs
    • Marketing and communications for these events including outreach and marketing materials, website updates, etc.
    • Maintain accurate records to ensure timely invoicing and payment processing 
    • Reviewing and approving materials for on-site distribution
  • Manage the affiliate event requests 
    • Develop content and application for affiliate events, including annual review affiliate event guidelines and application process and make recommendations for updates and changes
    • Update website with affiliate event information
    • Review and approve all affiliate event applications
  • This staff person should be able to apply working knowledge of the external guidelines affecting industry and professional medical associations to the projects within his/her purview, as well as be prepared to report on these efforts
    • Work with accounting staff to issue invoices, track income, record and process payments/cancellations, and follow-up on outstanding payments
    • Conduct prospect research, maintain list/databank of commercial supporters and prospects, develop, and maintain prospect data sheets
    • Serve as a contact for general exhibitor and sponsorship inquiries as back-up to the Director (for Annual Meeting)
    • Travel to fulfill job responsibilities as necessary
    • Assume any additional responsibilities as the Director, Expositions & Sponsorships, the Sr. Director, Meeting Services, the Vice President, Education, or the Executive Vice President may assign

QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience in association management.
  • Experience preferred in the area of sponsorships, exhibits, prospect research, and ability to engage in nuanced environments with corporate
  • Minimum five years of experience in program management and implementation
  • Excellent interpersonal skills with the ability to interact with volunteers, staff, and external stakeholders in a professional, diplomatic manner
  • Organized and detail-oriented self-starter with demonstrated ability to set and manage multiple priorities and work independently while functioning as part of a cooperative team
  • Exceptional verbal and written communication skills
  • Experience monitoring and tracking budgets preferred
  • Understanding of ACCME guidelines, PhRMA guidelines, AMA standards, and experience in a health-related organization preferred 
  • Advanced knowledge of Windows Operating Systems and Microsoft Applications
