JF&CS seeks a Part -Time Receptionist (29 hours per week).

PURPOSE: 
The receptionist is responsible for all aspects of the general and clinical reception areas. 

ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following and/or other duties may be assigned.

  • Open up clinical or general reception office in the morning.
  • Ensure that the reception area is kept orderly.
  • Answer all incoming phone calls and route them to the appropriate employee. Back up general reception during the day to answer incoming calls.
  • Check voice mail system for any messages left after hours and route them to the appropriate employee.
  • Greet clients and visitors, creating a warm and welcoming atmosphere.
  • Inform staff of their visitors and clients by phone and email.
  • Mail intake packages to older adults as requested by Clinician.
  • Monitor daily appointments through scheduling software.  Update client’s co-pays, working closely with accounts receivable manager to ensure accurate fees.
  • Update appointments to reflect any confirmed cancellations in consultation with Clinician. Communicate and be proactive with clinical staff to ensure the best client experience.
  • Assist in billing of appointment “no shows”, balances, and billing issues that may occur. 
  • Process payments using payment software and tools. Ensure payments of private pay and insurance co-pay fees.
  • Support Psychiatrist weekly. Manage doctor’s schedule, work with counseling intake to schedule appointment with doctor’s former private clients, assist the doctor with administrative requests.  Communicate with the doctor re his former private clients, relay pharmacy requests to the doctor, enter appointments for the doctor, make reminder call to clients regarding their doctor’s appointments.
  • Perform other duties as assigned.

Language Skills: 

  • Ability to speak clearly, concisely and effectively.  
  • Ability to listen and understand the information and ideas as presented verbally.  
  • Ability to communicate information and ideas clearly and concisely in writing and to read and understand information in writing.  

Mathematical Skills:  

  • Ability to calculate figures and amounts.  
  • Ability to apply concepts of basic algebra and accounting.

Reasoning Ability: 

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.  
  • Ability to make a decision or solve a problem by using logic to identify key facts, explore alternatives, and provide quality solutions.

Computer Skills: 

  • Must be computer literate.
  • Comfortable with basic computer programs. 
  • Must be proficient with software packages such as MS Word, Excel, Windows 98, Access, MS Mail and PowerPoint.

Other Requirements:

  • Must be detail oriented. 
  • Must be able to work with or contribute to a work group or team to complete an assigned task.  
  • Must present in a professional manner utilizing appropriate communication, dress and appearance.  
  • Must be able to plan, organize, and prioritize time and workload in order to accomplish tasks and meet deadlines.  
  • Must be able to deal with people in a manner that shows sensitivity, tact, and professionalism.

EDUCATION AND/OR EXPERIENCE:

  • 2+ years experience
  • High School Diploma or equivalent
