Job Summary

Overseeing the overall operation of The Cathedral Preschool, the Office Manager supports the work of the Administrative team to ensure that school policies and procedures are followed. Candidates for this role should enjoy working in an innovative, fast-paced, child-friendly environment. Excellent skills in the areas of communication, organization, and technology, including proficiency in Microsoft Office applications, Constant Contact, Adobe, QuickBooks, and Admissions software are integral to the position.  Expertise in graphic arts and/or marketing is a plus.  

Essential Duties and Responsibilities

  • Work directly with and assist the Preschool Director and
  • Maintain a supply of building, office and classroom materials;
  • Maintain and update, as necessary, school records and manuals;
  • Answer phones/door;
  • Organize and lead daily carpool;
  • Manage communication with families;
  • Maintain supplies of school literature (brochures, information/tour packets) and assisting with the design of new communication materials for special events;
  • Manage and update the school website and other social media;
  • Manage and hire substitute teachers when needed;
  • Oversee and organize parent volunteers, in-house enrichment experiences, and other school events;
  • Oversee building/grounds maintenance and repair;
  • Monitor the operation of all safety systems;
  • Work directly with and assisting the Business Manager with the areas of contract payment, scholarships, and tuition payments, billing;
  • Maintain records and files for staff and student information;
  • Maintain staff absence records;
  • Supervise students who come into the office; 
  • Provide clerical assistance to teachers and staff, as time allows or as authorized by Preschool Director;
  • Make non-instructional decisions as needed during Preschool Director’s absence;
  • In the absence of the nurse, administer first aid and medication to students for the purpose of meeting their immediate health care needs;
  • Assist other personnel as may be required for the purpose of supporting them in the completion of their work activities;
  • Promote effective public relations with parents and the general public.

Required Knowledge, Skills and Abilities

  • Knowledge of correct grammar, spelling and English usage
  • Ability to learn school procedures, goals and visions
  • Proficient in the use of a computer and the following software programs: Microsoft Office, SchoolAdmin, Constant Contact, QuickBooks, Adobe, and other platforms
  • Effective oral and written communication skills
  • Skill in operating general office machines
  • Ability to accurately perform arithmetic calculations
  • Ability to attend to detail and follow tasks through to completion
  •  Ability to establish and maintain positive, effective working relationships with students, parents, staff, and the general public
  • Ability to interact with preschool-aged children in a warm, confident manner
  • Ability to screen and treat minor student illnesses or injuries
  • Ability to set up and maintain an accurate filing system
  • Ability to work effectively under pressure and be flexible
  • Ability to maintain confidentiality
  • Ability to organize and set priorities

Minimum Qualifications

College Degree and three+ years of office experience with increasing responsibility, including records maintenance, bookkeeping and experience in working with children and the public. Previous school office manager/administrative assistant experience preferred.

Hours

Part-time- 26 Hours per week: M-TH 8:00 – 1:30 & F 8:00-12:30 (August-May). Approximately 25 hours in June and 25 hours in July.  A full-time position will be considered for the right candidate.
