NILC and its related 501(c)(4) organization, the NILC Immigrant Justice Fund, seek a dynamic Grant Specialist to join our resource development team. This person will be responsible for establishing and managing systems and processes necessary for smooth grants management and administration functions.  

The successful candidate will use their organizational, problem-solving, and analytical skills and experience to help the institutional giving team manage a growing portfolio of foundation grants effectively and efficiently. With a diverse grants portfolio that makes up nearly 80% of the organizations’ overall revenue base, this position plays an important role in maintaining and securing the resources required to advance NILC’s and NILC IJF’s mission and goals. 

 

Essential Functions

  • Manages tracking and recordkeeping for all grant-related actions, including submission of applications/proposals and reports, receipt of grant awards and payments, and funder correspondence. In collaboration with the Manager for Institutional Giving, Manager–Data Research and Analysis, and Development Associate–Gift Processing, enters grant-related actions into the CRM (Customer Relationship Management) database. 
  • Maintains calendar of grant report and proposal deadlines; in coordination with the Senior Officer for Institutional Giving and Manager for Institutional Giving, helps coordinate with staff involved in proposal and report preparation to ensure grant deadlines and deliverables are met. 

 

  • Compiles financial, program, and other organizational information required to complete proposals/reports; helps ensure that proposals and reports are formatted, packaged, and submitted according to funder requirements.  

 

  • As necessary and under the direction of the Senior Officer for Institutional Giving, assists in writing material for grant proposals, reports, and funder correspondence, striving to persuasively communicate about NILC’s mission and programs. 

 

  • Manages and maintains organizational information in foundation grant portals, updating staff and board lists and demographic statistics, banking information, and other required documentation on an ongoing basis.  

 

  • Identifies and develops strategies to optimize internal grants management and administration processes. 

 

  • Supports the Senior Officer for Institutional Giving and Manager for Institutional Giving in preparing for internal development strategy and pipeline meetings, as well as for meetings and other stewardship activities with institutional funders. 

 

  • As directed and required, helps create special reports, statistical summaries, and analyses regarding grant fundraising progress. 

 

  • Supports the overall goals and work of the development team, such as assisting with annual fund campaigns, special events, fee-for-service revenue generating strategies, etc., as needed. 

 

  • Collaborates with the development team in promoting a community-centric fundraising culture that aligns with the organization’s values of equity, inclusion, and impact. 

 

  • Other duties, as assigned. 

 

Essential Skills & Experience

  • Minimum of two years of professional experience related to this position. 

 

  • Passion for immigrants' rights, social, and racial justice. 

 

  • Highly organized, with keen attention to details; experience coordinating and managing multiple projects simultaneously. 

 

  • Experience with grants management systems, databases, and processes. Proficiency in basic software programs (MS Office, Google applications, SharePoint, or NetDocs). 

 

  • Excellent communication (verbal and written) and interpersonal skills, especially in working with a wide range of people, and navigating complex dynamics and partnerships. 

 

  • Experience in grant proposal and report writing a plus. 

 

  • Ability to prioritize work, meet deadlines, and produce quality results. 

 

  • A “self-starter” with sound judgement, excellent problem-solving skills, enthusiasm, and vision, as well as a willingness to collaborate with other team members to develop approaches to overcome challenges.

This position is included in a bargaining unit of employees represented by a union, and the employment terms and conditions for this position may be subject to a labor-management negotiations and a resulting collective bargaining agreement.

Salary for the role is commensurate with experience, and will be between $61,900 and $68,800.
