Position Summary:

Provide administrative support to CEO and executive leadership team.  Participate in organizational projects.  Liaise with Board of Director and county contract administrators.  Coordinate with the Development team to write grants and maintain grant records. 

ESSENTIAL DUTIES AND FUNCTIONS:

  • Provide high-level administrative support to CEO.
  • Coordinate and schedule travel, meetings and appointments.
  • Attend meetings on behalf of executives when requested.  Take notes and prepare summary reports.
  • Facilitate work groups.  Follow-up on action items and deadlines as needed.
  • Act as liaison with Board of Directors and county government officials.  Fulfill information requests on behalf of CEO.
  • Prepare for Board of Directors meetings.  Attend meetings and record minutes for distribution.
  • Research information for statistical and informational reports.  Create reports and presentations for executive distribution.
  • Coordinate with Development and Operations executives to research and write grant proposals.  Maintain grant financial and statistical records and produce reports as required.
  • Edit operational manuals and documents for style and tone.  Ensure correct use of grammar, punctuation and spelling.
  • Act as recordkeeper for organization’s legal documents, contracts and operational manuals.
  • Other duties and projects as assigned.

QUALIFICATIONS:

  • Strong commitment to the mission of LifeLine Animal Project.
  • Excellent writing and editing skills.
  • Exceptional interpersonal skills and ability to build relationships with all levels of the organization.
  • Self-directed with the ability to work both independently and as part of a team.
  • Proficient with Microsoft Office Suite and Google Workspace applications.
  • Excellent organizational skills and attention to detail.
  • Bachelor’s degree or equivalent experience.
