Make-A-Wish Greater Bay Area is a wish granting organization.  Together, we create life-changing wishes for children with critical illnesses. Our Chapter serves children from Monterey to the Oregon border west of Interstate 5.  Each wish is unique and is the dream of a child who is critically ill, the resulting smiles speak volumes to the healing effects of a wish come true.

The Database/Development Coordinator is responsible for working under the direction of the Database Administrator and the Individual Giving team. Data entry and analysis is a primary function of this role. There are also administrative duties to support the individual giving fundraising team. The successful candidate we seek is passionate about our mission, pays close attention to detail, is a team player as well as creative self-starter that will take the initiative to get the job done. This full-time, non-exempt position reports to the Database Administrator and works closely with the Development Manager on other administrative tasks.

RESPONSIBILITIES:

DATABASE DUTIES
Gift Intake and Processing

  • Data entry/gift processing using The Raiser’s Edge database software, including committing batches, adding solicitors, and linking relationships 
  • Create, update, and maintain donor records, ensuring all gift and constituent records are up-to-date and accurate 
  • Process matching gifts and special gift entry including Electronic Fund Transfers (EFTs)
  • Produce and mail gift acknowledgement letters in a timely manner and edit letters to keep up to date.
  • Communicate among departments to rectify any issues with miscoding 
  • Assist with gift imports as needed  

Support/Maintenance

  • Assist Database Administrator with on-going database maintenance and database clean-up projects within   The Raiser’s Edge. This includes but is not limited to merging duplicates and table clean-up  
  • Assist with tracking and entering Development activity reports (actions) 
  • Assist with building queries, generating reports, exporting mailing lists & maintaining database best practices 
  • Assist with data integrity procedures, processes and policies that efficiently enhance data integrity 

INDIVIDUAL GIVING DUTIES

  • Update stewardship assignments for contributions in the amount of $250+ via online giving, Chapter Direct Mail Program (CDMP), and other donations via Daily Cash Control
  • Maintain the Wheels For Wishes car donation program
  • Sending monthly acknowledgment email to all car donors
  • Updating additional stewardship assignments
  • Assist donors who want to create Wish Your Way fundraising websites for peer-to-peer fundraising
  • Run monthly pledge reminder report & assignments
  • Print and mail the specialized letter to first time donors – and updating letter periodically
  • Prepare, print and mail end of year donor receipts for monthly giving program
  • Create specialized buckslips, when needed for special announcements or campaigns such as World Wish Day, Planned Giving, etc.
  • Prospect research
  • Assist in the Adopt-A-Wish stewardship process
  • Maintain record of airline miles donations and acknowledge donors
  • Other duties as assigned

EXPERIENCE & SKILLS:

Associates or Bachelor’s Degree preferred

1-2 years’ relevant experience in an office environment, nonprofit experience preferred

Professional demeanor in person and on the phone, strong customer service skills

Excellent communication, organizational and computer skills necessary / Raiser’s Edge experience preferred

Ability to work both independently and as a member of a team

Interest in nonprofit work and belief in the value of community service

Valid CA Driver’s License and access to personal car for occasional travel

Some evening and weekend commitments required
