Position Summary

The Operations Assistant is responsible for maintaining an office environment that serves as an information center for current and prospective families and staff.  The Operations Assistant will be familiar with the school’s philosophy, school practices and procedures, and stay about all school events, in order to effectively answer parent questions.   The Operations Assistant provides direction and oversight to parent volunteers, oversees facility and grounds repairs and maintenance and is in charge of ordering supplies.   The Operations Assistant provides support for the school’s information technology including phones, copier, computers, internet and remote learning technology.  The Operations Assistant is full time during the school year, and part time (20 hours per week) during the summer, when school is not in session.

Job Responsibilities

  • Maintains inventory of materials and supplies.  Oversees purchasing of office, household and emergency supplies.  Distributes and stocks supplies. 
  • Manages extended care billing, sends statements to parents and makes deposits on a weekly basis.
  • Directs and coordinates facility repairs and maintenance, management, security, housekeeping, school clean up days, and disaster preparedness.  Procures bids and makes recommendations.  
  • Point person for information technology, troubleshoot issues, liaise with IT vendor, reviews technology infrastructure and makes recommendations for upgrades to meet employee and student needs.
  • Maintains school owned automobiles.
  • Assists teachers and parents with remote learning access.
  • Point of contacts for Campbell Community Center rentals.
  • Oversees parent participation program.  Ensures that all parents connect with appropriate participation opportunities. 
  • Oversees Hospitality Committee to ensure successful school events. 
  • Oversees school apparel orders.
  • Works with Head of School to schedule and oversee emergency drills.
  • Serves as key operator on copier and other equipment; arranges for service as needed; maintain service logs.
  • Creates and publishes key documents for the school such as the school directory.
  • Supports the classroom teachers by supervising arrival in the mornings, and may help to provide breaks and yard duty supervision.
  • Operates the school’s multi-line phone system; directs calls to the appropriate party, takes messages and provides information and assistance to callers.
  • Professionally greets and assists staff, students and visitors; answers questions for staff, parents, students and others. 
  • Provides supervision of sick students who are awaiting pick up by parent or guardian.
  • Sorts and distributes incoming mail; prepares outgoing mail.
  • Attends staff meetings and general school functions as requested.

Qualifications

  • Ability to relate to children and adults in a friendly, mature and professional manner.
  • Excellent verbal and written English language communication skills.
  • Ability to multi-task and prioritize successfully in a busy office environment.
  • Ability to complete work that is accurate in a timely manner. 
  • Proficient in Microsoft Office Suite.
  • Proficient in QuickBooks.
  • BA preferred.
  • Authorized to work in the US and ability to pass pre-employment screening, including negative TB test, criminal background and credit checks.

Physical Requirements and Work Environment

  • Works in a stressful environment dealing with a wide variety of challenges, deadlines and a varied and diverse array of contacts.
  • May work at a desk and computer for extended periods of time.
  • Be able to occasionally lift up to 30 lbs.
  • Work primarily in a traditional climate-controlled office environment. 
  • Work intermittently in outside weather conditions, including heat and cold.
