Jewish Family & Career Services “JF&CS” is a Georgia non-profit organization with a roughly 13-million-dollar budget.  The agency makes hope and opportunity happen by providing integrated programs and services that maximize self-sufficiency and quality of life.  The JF&CS Foundation holds the agency’s endowment and restricted fund assets. JF&CS is now seeking a Part Time Administrative Assistant for the National Homecare Program for Holocaust Survivors in the Southeast Region.

Purpose:  To provide administrative support to the National Homecare Program for Holocaust Survivors in the Southeast Region. 

Responsibilities:

  • Reviews homecare bills submitted for payment to ensure that proper documentation is attached and that hours billed are within clients’ allowed hours per week.
  • Prepares and submits check requests for payment.
  • Contacts vendors concerning inaccuracies or incomplete billing information and works with them to correct deficiencies.
  • Assists the accounting and program staff in reaching out to vendors that have checks that have not been deposited/cashed in a timely manner and initiates payment if the check was lost or not received.
  • Responds to clients and/or vendors about the status/timing of checks.
  • File check requests and client eligibility documents in appropriate folders, both electronically and in paper files.
  • Works with the accounting department on a quarterly basis to reconcile the accounting ledger with the program expense tracking sheet.
  • Handles all administrative tasks related to the grocery store gift card program for recipients in the National Homecare Program, which includes checking the balances on cards sent to survivors, ordering quarterly gift cards for participants in the program, mailing the gift cards with acknowledgement forms to participants, collecting the acknowledgement forms and tracking gift cards sent.
  • Handles all mailings to NHP enrollees including the annual acknowledgement letter, gift card surveys and services surveys.
  • Tabulates all survey results.
  • Assists the NHP Program Coordinator with tasks related to reporting to funders.
  • Attends supervision meetings with the NHP Program Coordinator, as needed.

Education and/or Experience:

  • College degree preferred. Must have experience using Excel and be comfortable with other computer applications.
