Operations and Finance Administrator

Job Purpose / Objective

The objective of the Operations and Finance Administrator is to lead in key areas of daily operations and finance of the organization. This position will assist with activities that relate to payroll management, book keeping, grants management assistance, and managing operational timelines, due dates and renewals.

Essential Functions & Primary Duties

• Manage monthly payroll systems. Update employee changes as needed to payroll systems.
• Complete data entry of monthly book keeping for all expenses and revenue to ensure the accountant can complete the monthly updates on a monthly basis.
• Assist with keeping agency insurance and state filings current.
• Assist with grants financial record keeping. Work with office staff to code expenses to appropriate grants.
• Work with Program Director to make sure all policies and procedures are current and distributed to all employees.
• Assist CEO and outside CPA firm on annual audit activities

• All other duties as assigned

Qualifications Required 

• Bachelor or Associates Degree in business administration preferred.
• 3-5 years of experience in operations and finance, preferably in the nonprofit field
• Preference given to candidates with strong book keeping experience
• Passion for the vision, mission and values of Helping Mamas.
• Strong interpersonal and organizational skills
• Ability to maintain organized records.
• Ability to modify work schedule and work varied hours—nights and weekends as needed on occasion.
