Under the direction of the Director of Gift Planning, the Gift Planning Program Manager supports the gift planning program at LPFCH and assists with prospect/donor management, program administration, marketing and communication, project and event management, and people management. Gift planning is responsible for securing new intentions for future estate gifts, assisting with the close of complex gifts, and administering open estates. The ideal candidate for this role has experience in gift planning, knowledge of estate planning, and/or nonprofit fundraising experience. We also welcome applications from highly organized professionals with experience managing people and an excitement to learn gift planning while in this role.

Position Duties and Responsibilities

Prospect/Donor Management

The gift planning team includes two field fundraisers, a Director and an Associate Director, who each maintain a portfolio of donors and prospects. The Program Manager will support this work by helping identify and track engagement with donors and prospects and keeping the portfolios active and accurate. The skills required to successfully manage donor research and donor data accuracy include the ability to:

  • Conduct quarterly reviews of the Director's and Associate Director's portfolios.
  • Partner with the Foundation's Advancement Service's team to identify prospects.
  • Monitor and update prospect progress in Raiser's Edge.
  • Identify, analyze, and report on key data metrics to track progress to goal.
  • Lead the development of and manage the stewardship plan for existing gift planning donors.

Program Administration

The nature of the Gift Planning program requires a significant focus on compliance. The Program Manager will manage themselves and the Gift Planning Assistant to support the team with estate administration, life income gifts, gift processing, and other administrative tasks:

  • Manage Gift Planning donor information in Raiser's Edge.
  • Manage estate administration process and progress.
  • Draft estate administration correspondence to attorneys, advisors, trustees, and family members.
  • Ensure that all appropriate trust and estate documentation has been received and properly recorded based on donor intent.
  • Liaison with Gift Planning's investment company TIAA Kaspick which includes handling beneficiary distributions, mailing of annual trust beneficiary reports, and processing all donor information changes.
  • Coordinate legal and tax filings related to life income gifts with the Foundation's finance team.
  • Work with Development Services team to ensure that all gifts have been received, properly recorded based upon donor intent, and receipted correctly.
  • Complete annual budget for Director's review and oversee ongoing departmental budget tracking by Assistant.
  • Coordinate the completion of monthly and annual reports.
  • Facilitate team meetings.

Marketing and Communication

The Gift Planning Program Manager will support the work of the gift planning program by overseeing the creation and thoughtful distribution of high-quality marketing material and communications. The skills necessary to do this will include the ability to:

  • Create proposals, gift illustrations, and informational packets.
  • Segment audiences, and plan messaging and execution for outreach to each audience.
  • Review and edit copy for marketing materials and communications pieces.
  • Set criteria to create database queries for mailing lists.
  • Coordinate departmental website updates.
  • Manage the relationship with the outside marketing vendor.

Project and Event Management

The Gift Planning Program Manager will be responsible for planning and executing projects and working with the Events team on gift planning events that are related to identifying, cultivating, and stewarding donors. In addition to events for prospective and existing donors in the gift planning program, the Program Manager will also be responsible for organizing stewardship touch points such as holiday greetings, small gift items for donors, and a schedule of donor phone calls and visits for the Gift Planning team. Skills required to successfully manage projects and events include the ability to:

  • Create strong project and event plans in support of internal initiatives, prospective donor identification and engagement, and donor stewardship
  • Manage others with or without reporting lines to set a clear vision and execute steps in service of successful project completion and events,
  • Execute across multiple events and projects at once assist Director, Associate Director, and the Events team to organize stewarding

Qualifications: 

Education and Experience

Required:

A Bachelor’s Degree or equivalent related experience

3+ years of professional experience

3+ years of experience where core responsibility included complex project and/or process management

Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint

Preferred:

2-3+ years of experience managing one or more direct reports

Prior experience in Raiser’s Edge or a similar CRM database software

Experience in one or more of:

Gift planning at a non-profit organization or foundation

Estate planning

Nonprofit fundraising experience

Ability and interest in becoming a subject expert in gift planning

Map, manage and execute detailed workflow processes

Attention to detail including the ability to track and meet strict deadlines

Collaboration: Ability to collaborate across foundation teams and functions as well as external teams to build trust and effective relationships.
