Executive Assistant to Chief Development Officer

Reports to: Chief Development Officer

Position Summary

Administrative assistant to the Chief Development Officer will provide a variety of highly skilled administrative support activities that require confidentiality, initiative, independent judgment, strong interpersonal skills, accuracy, and attention to detail. Collaborates with the Advancement Team to meet strategic planning goals and help in coordinating advancement events per CDO’s directives. Works closely with CDO to produce and update reports, and manages initiatives and projects assigned by CDO.

Qualifications

Mature, experienced administrative assistant with excellent people skills, strong computer knowledge, willingness to learn, adaptable and flexible as the situation requires. Ability to write well, proofread, copy, and collate, listen, problem solve, think of creative and innovative ways to accomplish tasks, and maintain confidential information. Intermediate Microsoft Excel skills.  Raisers Edge (RENXT) or similar donor software experience a plus.

Responsibilities

  • General communication and secretarial duties for CDO
  • Compile, transcribe and distribute minutes of meetings
  • Make travel arrangements, business appointments for CDO and Directors of Advancement
  • Assist with donor recognition protocols as needed
  • Provide coordination between Advancement Team and Marketing Team
  • Prepare correspondence for CDO and others as required
  • Manage and maintain CDO calendar, schedule, and travel plans
  • Prepare expense reports for the CDO and Directors of Advancement
  • Assist CDO with timecard management and expense reports
  • Assists CDO with work in the donor database
  • Interface by telephone with donors, prospects, vendors, Haggai leaders, ministry friends and other stakeholders
  • Coordinate travel reservations and attendance information for out-of-town guests, events and other special meetings as directed
  • Work closely with foundation grants manager to assist with reports and grant proposal distribution and tracking
  • Coordinate advancement department activities with other departments
  • Develop working knowledge of building successful donor relationships, home/group meetings, annual meetings, and other special events
  • Establish and maintain cooperative working relationships with organizational staff, vendors and others who come in contact with Haggai Institute
  • Greet and assist office visitors as needed
  • Other duties as assigned by CDO

Compensation

 

  • Salary based. Commensurate with experience and productivity
  • Benefits as described in the Employee Handbook (subject to change as the need arises)

Other Conditions

 

• Hours of work are officially from 8:00am to 5:00pm Monday to Friday; however, the effort necessary to undertake your role effectively will dictate the real time required – for instance annual meetings, end of year fundraising campaigns and special events

• No vacation during the month of February due to the organization’s annual meeting/Global Summit preparation
