For more than 75 years, Via Services' mission has been to empower people with disabilities and their families to grow, develop and thrive by providing essential skill-building, therapeutic and recreational programs. Our flagship program, Via West, provides year-around weekend respite camps, as well as longer duration summer camps, for children and adults with a broad range of disabilities. Following a year-long closure due to the Covid-19 pandemic, Via is ramping up staff recruitment and program enrollment.

The Admissions and Billing Manager reports to the Director of Programs and works closely with participants, parents, caregivers to coordinate enrollment of Via West and Altitude clients in year round programs, maintains all client records, manages files, processes billing, generates weekly enrollment and monthly billing reports, and prepares materials for programs. The Admissions and Billing Manager also facilitates client check on site in Cupertino and provides other administrative support to Camp Management.

Duties/Responsibilities

  • Enrolls all clients for year round programs and handle entire administrative process from enrollment to attendance for all clients.
  • Performs billing and coordinates all payment as well as performs collections for past due accounts receivable for both programs.
  • Manages session check-in days at camp for both programs.
  • Maintains hard copy participant files and extensive online database records.
  • Serves as main liaison over the phone, online, and in person in order to maintain effective communication with families. Responsible for a 48 hour turnaround for all return verbal or written communication.
  • Serves as Co-Manager of Scholarship Committee
  • Handles all communications with Regional Center Coordinators
  • Provides some administrative support to the Via West staff.
  • Assisting in developing seasonal forms.
  • Responsible for compiling reports and data as required by VWC and other Via departments
  • May supervise CalWorks volunteers to assist with administrative tasks such as filing or session preparation.
  • Performs other duties as assigned.

Requirements for all Via Staff

  • Timely completion of mandatory training and onboarding activities as required for the job function
  • Participate in organization functions and attend staff meetings and trainings as scheduled
  • Maintain professional relationships and provide excellent customer service with parents, staff, visitors and the community
  • Demonstrate accountability by being solution-focused, taking responsibility, communicating effectively and being on time
  • Adhere to organizational internal/external communication standards
  • Ensure a safe work environment for participants according to general safety standards
  • Comply with organization and program policies, regional center policies, governing authorities' standards, CAL-OSHA, quality assurance standards, etc.
  • Must act as a Mandated Reporter, and responsible to report any known or suspected adult/child abuse
  • Must comply with applicable federal, state, and local regulations and law
  • Perform other job-related duties as assigned

  • Ability to work and travel between the Park Avenue office in Santa Clara as well as at camp in Cupertino.
  • Ability to support program needs requiring periodic evening and/or weekend coverage.
  • Intermediate-to-advanced proficiency of Microsoft Word, Excel, PowerPoint
  • Working knowledge of G-Suite for email, document sharing and calendar
  • Ability to become proficient in new systems
  • Ability to document and train others on workflow processes
  • Effective and professional written and oral communication skills
  • Ability to work effectively in a team environment
  • Ability to work independently and collaboratively

Education and Experience:

Any combination of education and experience that would likely provide the required knowledge, skills and ability is qualifying, unless otherwise specified.

  • Bachelor's degree in a related field is preferred.
  • At least four years of administrative experience is required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to sit, stand, stoop, and bend occasionally.

Pre-Employment Requirements:

  • Valid California Driver's License
  • Clean driving record
  • Proof of continuous automobile insurance coverage as required by the State of California
  • Ability to obtain criminal fingerprint clearance
  • Proof of negative TB results
  • At least 18 years of age
