About the Senior Administrative Assistant position

The Gideon’s Promise Senior Administrative Assistant for Programs is an energetic, amicable, and highly organized individual working in the Programs Department.

The Senior Administrative Assistant will provide primary administrative support for the Programs Director and departmental staff.  In addition, they will interface with Gideon’s Promise constituents and the public and will serve as the first point of contact for overall/general program inquiries. They will require a high level of professional communication skills; both written and face-to-face.

Three or more years as a full-time executive assistant and/or administrative and a commiserate educational background is required. The rate of pay is $20-$23 per hour.

Senior Administrative Assistant Responsibilities:

  • Provide administrative level support as required by Programs Director
  • Prepare and distribute agendas for all Programs meetings and training events
  • Create, edit and distribute both internal and external correspondence on behalf of the Programs department
  • Coordinate and book travel for programs staff, faculty, and special guests to include airfare, car rentals and hotel accommodations
  • Recruitment and assistance with volunteers for trainings
  • Assist with tracking/updating program data (i.e. update contact information, survey creation and collection, graduation certificates, etc.)
  • Assist with the electronic organization/management of program documents and the public drive
  • Assist with programs budget management and inventory management
  • Manage the Program Directors’ calendar and schedule meetings
  • Maintain minutes during Programs department meetings
  • Assist with the planning and implementation of all programs events and cross departmental special projects requiring all staff participation
  • Assist with conference and training scheduling and logistics
  • Assist with preparing copies and training materials for staff, faculty, and participants
  • Order and maintain departmental supplies, materials, and equipment
  • Schedule departmental meetings and events
  • Assistant with the application and interview processes for all programs
  • Coordinate with Partner Offices and Partner Law Schools and other key constituents
  • Maintain and update all communications contact databases
  • Collaborate with the marketing department to ensure programs’ collateral materials and website pages are updated 
  • Perform other duties as assigned

Senior Administrative Assistant Qualifications:

  • Ability to meet tight deadlines, work well under pressure, and balance multiple simultaneous or concurrent responsibilities
  • Advanced written and spoken (English) communication and skills; excellent interpersonal skills
  • Computer proficiency in MS Office products: Word, Excel, Outlook, and Power Point
  • Demonstrate high level of diplomacy, sound judgment, and discretion when dealing with participants, volunteers, and community professionals
  • High degree of energy, self-motivation, and flexibility
  • Three or more years of full-time executive assistant and/or administrative experience and 2 years of college coursework
