Summary:

The Operations Manager is a supporting position to the CFO/COO.  The Operations Managers’ primary functions are to provide oversight to staff and utilize strategies to ensure growth; implement process improvements that will maximize output, minimize costs to the agency; uphold organizational policies and standards to ensure an inclusive, productive environment is maintained.

Essential Functions and Responsibilities:

  • Supervision of assigned staff including but not limited to: Operations Coordinator and Operations Assistant.
  • Work with team to develop objective performance measurements across all sites, to ensure consistent, high-quality evaluation and goal setting.
  • Instill a sense of accountability among team members by modeling strong oversight of individual and organization performance standards, aligning initiatives with excellence in service.
  • Ensure the coordination and execution of all Master Lease and Supportive Service agreements for the portfolio.
  • Strengthen and manage all aspects of internal and external communications, ensuring consistency and professionalism.
  • Support strong positive relationships with property owners, property managers and vendors.
  • Manage agency projects/initiatives and ensure timely completion.
  • Interface with all departments to ensure proper training and compliance.
  • Provide oversight to Operations Coordinator regarding portfolio management and grant compliance.
  • Lead various agency teams (IT, Safety, Asset Management) to ensure efforts meet agency policies and procedures.
  • Monitor program budgets and oversee grant and contract compliances, managing and reporting any variances or deficiencies to CFO/COO.
  • Improve operational support of programs, processes and policies enhancing management reporting, information flow, business processes and organizational planning.
  • Participate in agency strategic planning to formulate and meet deliverables.
  • Support the CFO/COO in pursuit of new partnerships, additional funding sources and opportunities.
  • Other duties as assigned.

Information Technology:

  • Manage the acquisition, deployment, and redeployment of agency cell phones; review and administer changes to the cell phone contract in the interest of providing seamless service and reduced cost.
  • Manage the relationship with the contracted Managed IT Provider and coordinate all IT related projects.

Infrastructure Management:

  • Responsible for all capital and infrastructure projects including overseeing maintenance and repairs of leased and owned properties.
  • Responsible for the maintenance of all office equipment owned and leased by CaringWorks.

Qualifications and Required/Preferred Skills:

  • A Bachelor’s Degree in a related field or applied discipline from an accredited school (i.e. Business, Social Service or related field).
  • 5+ years in a leadership capacity in an appropriate field.
  • Property management experience a plus
  • Proven ability to plan and manage agency operational processes.
  • Ability to streamline and implement new structures and recommendations that create efficiency, speed shifting agency demands.
  • Strong working knowledge of industry regulations and guidelines.
  • Superior skills in the area of operational functions and principles including finance, customer service and production.
  • Must successfully pass a background check and drug screen/test.
  • Must possess a valid GA state driver’s license and liability insurance minimums as outlined in CaringWorks Liability insurance coverage.
  • Experience with budgets, spreadsheets and program development preferred.
  • Excellent interpersonal, analytical, research, presentation, written, and oral communication skills.
  • Ability to multitask, manage and organize projects, and assist with fundraising projects.
  • Proficiency in Microsoft Office software to include Word, Excel, Outlook.
  • Ability to work independently and manage multiple priorities. 
  • Proficiency in Google Docs/Google Drive preferred.
  • Ability to work and interface with at-risk client populations (i.e. chronic illness, mental illness, substance abuse, etc.).
