POSITION DESCRIPTION

 

TITLE:                            Senior Specialist, Sponsorships

STATUS:                        Exempt

LEVEL:                          Sr. Specialist

DIRECT SUPERVISOR:          Director, Exhibits and Sponsorships

 

POSITION DESCRIPTION SUMMARY:

The Senior Specialist, Sponsorships is responsible for overseeing and implementing sponsorship sales for ACR meetings and programs, including the fulfillment of benefits and recognition opportunities for sponsors. Additional duties align with organizational sponsorship and stewardship efforts and exhibit hall initiatives as well as the Committee on Corporate Relations.  The xx is responsible for generating $3 million of a $6M+ budget annually.

DUTIES & RESPONSIBILITIES:

  • In collaboration with the strategic relations team, determine/create sponsorship opportunities for meetings and programs
  • Create specs, benefits, pricing for sponsorship opportunities
  • Create sponsorship prospectus/rate card
  • Prospecting new customers, reaching out to new/current customers
  • Contact Right of First Refusal Customers
  • Creation of a sales database (in Nimble or elsewhere)
  • Sales Process includes, for example
    • Communicate with companies about available opportunities
    • Set up sales calls with companies (RFR and others)
    • Issue Letter of Agreement to sponsor
    • Send specs and deadlines to sponsor
    • Invoice the sponsor/track payments, follow-up on balance due
    • Reconcile with accounting sponsorship payments
    • Fielding calls/communications from exhibitors on deadline extensions, clarifications on specs.
    • Reviewing and approving artwork
    • Ensuring all benefits are fulfilled, pre, during, post
    • Onsite
      • ensure all sponsorships are installed/fulfilled to sponsors expectations
      • Meet/visit with sponsors to thank for support
    • Post meeting follow-up, thank you letters with pictures of their tactics
  • Track sponsorship expenses and create report of income vs expense
  • Oversee and manage the review and approval of third-party mailer requests including approving mailers and ads that may appear in The Rheumatologist, ACR Convergence Today, etc., annually and during the meeting or program. Ensure adherence to ACR guidelines and standard operating procedures
  • Oversee and manage meeting mailing lists with appropriate third party
  • Manage sponsorship files and including, but not limited to:
  • Maintenance of supporter agreements/letters of agreement and ACCME files for commercial supporters
  • Ensure compliance with external guidelines
  • Travel to fulfill job responsibilities as necessary
  • Assume any additional responsibilities as the Director, Expositions and Sponsorships, Vice President, Strategic Initiatives, or the Executive Vice President may assign

QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience in association management
  • Experience preferred in the area sponsorships sales, supporter stewardship and prospect research; preferably with in the medical association field
  • Minimum five years of experience in sponsorship sales and implementation
  • Excellent interpersonal skills with the ability to interact with volunteers, staff, and external stakeholders in a professional, diplomatic manner
  • Organized and detail-oriented self-starter with demonstrated ability to set and manage multiple priorities and work independently while functioning as part of a cooperative team
  • Exceptional verbal and written communication skills
  • Experience monitoring and tracking budgets preferred
  • Understanding of ACCME guidelines, PhRMA guidelines, AMA standards, and experience in a health-related organization preferred
  • Advanced knowledge of Windows Operating Systems and Microsoft Applications
