DEVELOPMENT ASSOCIATE
Position: Full-time position providing Blackbaud Raiser's Edge NXT gift processing, event planning, and administrative assistance to support Development Office initiatives
Reports to: Development Director
RESPONSIBILITIES
Data Entry
- Enter, process, and maintain all donor donations and pledges in Blackbaud Raiser's Edge NXT, including managing and updating constituent data, providing handling of complex gift and data-entry cases, and ensuring the integrity through accurate data entry
- Manage gift/pledge acknowledgement process and produce donor acknowledgement letters in a timely fashion
- Regular review and maintenance of database for record consistency
- Generate and produce Raiser's Edge NXT reports and queries, updating as needed, including monthly donor financial reports
- Compile weekly gift deposit slip for Business Manager
- Compile monthly reconciliation of all deposits for Bookkeeper
- Prepare and manage mailing lists, newsletter email lists
- Troubleshoot issues with Blackbaud
Donor Communication and Events
- Assist Director of Development with the planning, preparation, execution, and implementation of fundraising mailings and execution of special events
- Assist in the development and oversee marketing communication including the school’s Annual Report, donor mailings and emails for campaigns in both print and online
- Design, build, and email newsletters in Constant Contact, maintaining accurate email lists
- Assist in the planning and logistics of annual development events
- Create and update accurate record keeping and execution of all event and solicitation responses, including sponsor records, guests lists, student projects for both virtual and in-person events
- Regularly review annual fundraising goals to prioritize projects
General Duties
- Monitor and update website development department pages to ensure information and photographs remain current
- Maintain calendar for Development Department including all important foundation due dates
- Accurately maintain all documents, files, and photographs in Google drive
- Review parent/guardian consent form to ensure compliance with the use of students’ image in all marketing materials
- Proof letters, documents, invitations as needed
QUALIFICATIONS
Required qualifications include:
- A minimum of 1 year of direct development office experience
- Proficient in Blackbaud Raiser's Edge NXT or similar database, including gift processing, acknowledgement, reporting/queries
- Proficient in letter writing and formatting of business communication
- Proficient in Microsoft Office, G Suite (Google Drive, Gmail, calendar), Excel
- Proficient in marketing platforms, Constant Contact, Adobe Illustrator
- Demonstrated experience in planning and executing events, virtual event experience a plus
- Strong working knowledge of financial accounting
- Prioritize attention to detail
- Excellent planning and organizational skills, understand priorities, and ability to meet deadlines
- Ability to prioritize and manage several projects efficiently, adjust to changing schedules, problem solve
- Self-motivated and ability to work independently while understanding the necessity for communicating and coordinating work efforts, enjoy working with a small team
- Demonstrate discretion in dealing with confidential matters
- Excellent written and verbal communication skills
- Working knowledge of event organization
- Familiarity with non-profit data standards
