Job Details
The primary role of the Events Coordinator will be to assist the Events Director in booking and managing new rentals of the Callanwolde venue for weddings, filmings, and corporate events. This position will also aid the Events Director in the planning of Callanwolde-sponsored events which include, but are not limited to, concerts, recitals, artist markets and fundraising activities. Candidates for this position should have clear and effective communication skills as well as the ability to collaborate with a team of 10+. Candidates should have an eye for detail and be thorough and meticulous in their work. This position requires a high level of initiative and ability to work in a fast-paced work environment.
Key areas of responsibility
- Return email and phone inquiries for venue rentals
- Schedule and execute tours for prospective renters
- Manage rental booking and planning process
- Create rental contracts
- Effectively communicate event needs to Callanwolde staff
- Assist Events Director with upkeep of rental calendar
- Build and maintain relationships with event vendors
- Assist Events Director with planning and set-up of Callanwolde events
- Maintain organized processes in collecting contracts and meeting payment deadlines
QUALIFICATIONS/COMPETENCIES
Required Skills:
- Bachelor’s degree
- At least 1-2 years of experience in a relevant event industry (nonprofit experience preferred but not mandatory)
- Cultural sensitivity and understanding of diversity
- High level of initiative, problem-solving and project management capabilities; highly organized with meticulous attention to detail
- Excellent verbal, written, and organizational skills; confidence with negotiating sometimes challenging demands from potential renters
- Ability to work under pressure and manage multiple projects and priorities
- Adobe Illustrator skills a plus
Schedule: Tuesday-Saturday; office hours may be adjusted to accommodate rental tours and events
