Job Title: Temporary Volunteer Support Coordinator
Reports To: Senior Director of Membership Recruiter
Status: Non-Exempt
Salary: $17.00-$18.00/Hourly
Location: Mableton Business Center
JOB SUMMARY
The Volunteer Support Coordinator is a temporary opportunity that is responsible for providing administrative support to the Director and Managers of the Membership Recruitment Team. She/He will also coordinate the delivery of the Volunteer recognition program, which includes multiple delivery channels and event planning. This is a 6-month assignment. Must be available to work February-July 2021.
DUTIES AND RESPONSIBILITIES
Support:
- Process invoices and check requests as needed
- Assist in planning and coordination of various volunteer events such as the Volunteer Leadership Conference and Annual Meeting
- Manage all incoming and outgoing packages and mail
- Provide detailed support with the ability to manage multiple projects as needed
Recognitions:
- Assist the Volunteer Support Manger in executing the volunteer recognition program
- As directed by the director and manager, help plan the Volunteer Leadership Conference, including the preparation of all award materials, volunteer registration, and follow up with attendees as needed
- Process volunteer awards in a timely manner
- Update recognitions handbook as needed
- Maintain Salesforce tracking system for all awards and recipients
- Support the Council Recognition Committee as needed
- Keep track of event finances including check requests, invoicing, and reporting
Resolutions:
- Manage the escalation process of volunteer disputes through formal processes and documentation.
- Prepare documents, assemble and maintains statistical data
- Perform and oversee specific projects and programs as assigned
- Prepare letters, memos, spreadsheets, reports, and communications that are sensitive and confidential in nature
- Attend Internal Review Committee meetings
- Document any volunteer status updates on Salesforce as needed
Other:
- Develop an understanding of Girl Scout history, philosophy, organization, policies and operational procedures
- On a self-directed basis, continues to improve individual level of competency through training and certification on established educational programs
- Must be able to relate to other people beyond giving and receiving instructions: (a) can get along with coworkers or peers without exhibiting behavioral extremes; (b) perform work activities requiring negotiating, instructing, supervising, persuading or speaking with others; and (c) respond appropriately to criticism from a volunteers, members, or supervisor
- Other duties as may be assigned.
KNOWLEDGE, SKILLS AND ABILITIES
- Three years’ experience in and administrative support capacity, preferably in a customer service organization
- Experience handling highly confidential and/or sensitive in nature, and maintain diplomacy and discretion always
- Bachelor’s degree preferred; or equivalent work experience
- Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches
- Willingness to work evenings and weekends
- High level of customer service
- Knowledge of Girl Scouting, preferred
PHYSICAL REQUIREMENTS
- Physical ability to load and unload vehicles and to carry and set-up supplies and pieces of equipment weighing up to 35 pounds
