EVENTS COORDINATOR

Atlanta Police Foundation Background

The Atlanta Police Foundation (APF), established in 2003, brings together the public and private sectors, with the mission of making Atlanta a safer city for residents and visitors. Through public safety strategies and partnerships, APF, a 501(c)3, provides a means for individuals, community members, and businesses to engage and donate funds, with the goal of preventing and reducing crime. APF’s programs address the city’s public safety needs, including increasing police visibility, using state of the art technology to fight and prevent crime, and working to create strong leaders in the Atlanta Police Department through enhanced training and education.

APF generates more than $700,000 annually through five signature events – golf tournament, an experiential interactive evening event, 5k race, business breakfast, a social fundraising event and a community fundraising. The Events Coordinator is responsible for all event fundraising activities, programmatic elements, event creative and logistics.

 

Responsibilities

  • Coordinate six major fundraising events throughout the year Link Up Against Crime, A Night in Blue, Atlanta’s Finest 5k Race, Crime is Toast Breakfast, Blue Jean Ball and At-Promise Field Day
  • Coordinate and executes all pre-event tasks, such as negotiating vendor contracts for catering, A/V, décor, seating assignments, signage and room set up
  • Create programmatic elements for events, including talking points, run of show and designing of all event creative components
  • Execute post-event tasks such as event surveys, debriefing, thank you notes and financial reconciliation
  • Develop and manage timely event-related communication, including the event portion of the APF website, email and social media campaigns, invitation mailing, compiling mailing lists, tracking RSVPs, sponsorship fulfillment and social media
  • Recruitment and management of event volunteers and support staff, while providing support to other APF events where additional support is needed
  • Assist with management of donor database, donor files and acknowledgement letters
  • Other duties as assigned

 

Required Qualifications: A candidate must possess ALL of the following qualifications to be considered for this position. The requirements/qualifications indicated below must be essential to the performance of the work.

 

Education and/or Experience

  • Bachelor’s Degree in applicable field
  • 2-3 years experience in event coordination

 

Special Communication Skills

  • Strong written and verbal skills
  • Effective public speaking skills

 

Computer/Software Skills

  • Demonstrated computer skills, particularly MS word, Excel, Publisher, and Power Point
  • Working knowledge of Donor database programs
  • Experience using survey and email marketing platforms such as Constant Contact, Survey Monkey and/or Mailchimp

 

Other skills and abilities

  • Enhanced attention to detail
  • Experience managing budgets
  • Ability to multi-task and prioritize, managing multiple competing priorities
  • Must be resourceful and creative
  • Ability to thrive in a fast-paced, high-intensity work environment
  • Must be able to work outside of normal business hours included early mornings, weeknights and weekend nights

Special physical demands: Moving event materials on and off-site of up to 20 lbs.
