Job Details

GENERAL:  This is a great opportunity for a skilled accountant who wants to learn and grow in the broader arena of non-profit administration. The Accounting and Administration Supervisor plays an integral role in maintaining the accounting records of the Pacific Forest Trust (PFT) and for a client for which PFT provides accounting and administrative services.  Responsibilities include exercising accounting controls and ensuring that all accounting functions are carried out in accordance with applicable accounting standards for non-profit organizations. The Accounting and Administration Supervisor is also responsible for supervising administrative functions that include purchasing, facilities support, systems maintenance, and logistical support for meetings and events.  This position is supervised by and reports to the Director of Finance and Administration.  

QUALIFICATIONS:

  • At least three years of accounting experience, preferably in a not-for-profit organization.
  • Undergraduate degree in accounting, finance, or business administration
  • High level of competence with Excel, including experience with pivot tables and vlookups.
  • Experience with QuickBooks preferred. Experience with cloud based financial software preferred, as is an interest in implementing a transition to new financial software.
  • Ability to effectively communicate in English, in writing and speech, with people both internal and external to the organization
  • Ability to provide directions and constructive feedback
  • Critical thinking skills to identify and investigate variances and discrepancies
  • Detail-oriented and organized, with a demonstrated ability to prepare, organize and maintain documentation in support of transactions and journal entries
  • Ability to effectively plan work and meet deadlines
  • Ability to work independently and as a team member
  • Federal and state grant management experience is a plus

DUTIES AND RESPONSIBILITIES

Accounting and Finance

  • Prepares monthly and annual financial reports, including balance sheet, income statement (accrual and cash basis), and statement of cash flows
  • Participates in annual budgeting process
  • Produces and updates annual cash flow projections and budget-actual variance
  • Performs year-end closing procedures
  • Prepares audit schedules and participates in annual audit field work
  • Reconciles or supervises reconciliation of monthly bank, credit card and investment account statements
  • Supervises accounts payable and accounts receivable processes
  • Monitors operating cash balance and prepares bi-weekly cash forecast
  • Prepares Form 990 schedules
  • Prepares grant budgets and funder reports
  • Prepares quarterly timber tax returns for client
  • Prepares and processes payroll, retirement plan contributions and tax returns for approval and submission; maintains all associated records
  • Prepares or supervises preparation of various reports as required by regulatory agencies

Risk Management and Compliance

  • Administers annual insurance renewal process
  • Maintains and audits records of PFT, client and contractor insurance to ensure compliance
  • Performs workers compensation audit
  • Prepares annual filings to multiple state charitable registration offices
  • Ensures compliance with 2 CFR 200 requirements related to federal grant awards
  • Ensures compliance with record retention requirements

Contracts and Purchasing

  • Supervises purchasing activities and manages relationships with vendors and suppliers
  • Monitors contract payments

Facilities

  • Supervises day-to-day facilities management
  • Supervises annual facility cleaning process

Other

  • Assists the Director of Finance and Administration as needed in overseeing and providing all accounting and administrative functions of the organization, which may include:
  • Supervising maintenance of information technology systems such as the local area network, internet service, telephone services, accounting system and donor management system
  • Supervising meeting and event logistics
  • Ensuring the security of assets, records, and facilities
  • Related duties as may be assigned
