Job Description 2020
Job Summary
Holy Innocents’ Episcopal Church seeks a collaborative, patient, and organized individual who will focus on the maintenance, cleaning, and scheduling of events for the community.
Holy Innocents’ is a church of 1,400 souls that use the space 7 days a week. With the largest parish-based Episcopal School in the U.S. on her campus (another 1,600 people), Holy Innocents’ has enormous demands on the property and building. The role of the qualified applicant will be artful negotiation with multiple groups while caring for the buildings and grounds of the church property.
Due to the worship needs of the church, the required work week for this position will be Sunday through Thursday
We seek to fill this position by December 2020.
Essential Functions
Facility Maintenance
- Direct and manage property and facilities at the direction of the Parish Administrator and/or Rector to ensure that the site, physical plant, and Church building are in excellent condition for all Church activities
- Regularly walk the grounds and buildings to ensure that the space is well-maintained, strive to improve areas that need work, and contact the needed subcontractors to repair or restore areas in need of work
- Schedule, oversee, and coordinate custodial, maintenance, and related assigned personnel with approval of the Parish Administrator
- Manage the cleaning crews with detailed lists of tasks to accomplish, ensure areas are cared for and cleaned property, and provide prompt feedback if areas are not cleaned properly
- Request at least three proposals for any service needs over $500, including vendor and supplies, used in facility operations
- Craft a clear recommendation from those proposals for service needs to the Parish Administrator, Rector, and/or Vestry.
- Negotiate agreements and ensure the work is completed
- Manage the maintenance budgets with the Parish Administrator
- Maintain and manage facility inventory
- On call 24/7 for maintenance emergencies and needs
Event Management and Scheduling
- Coordinate and schedule the use of the facilities and maintain reservations for the parish’s events as well as outside groups
- Organize and ensure that all events in the church are set-up properly, operate effectively, and are cleaned up promptly
- Book outside groups in the spaces available on campus by reaching out and working to fill our spaces as much as possible
- Act as the resource and point person for all church events and scheduling
- Work with Holy Innocents’ Episcopal School to coordinate shared events, space needs, and special services between church and school
- Facilitate art exhibits and coordinate with artists and committee members for the Ventulett Gallery
Technology
- Provide technical troubleshooting for all technology needs and work with the technology group regarding changes and issues
- Serve as the point person for the audio-visual and sound needs of the church including the hearing assisted devices, sounds systems, online streaming needs, and the internet. (we are not seeking an expert AV tech as much as someone who will learn our system and ensure its proper function and upkeep)
Collaborate with Staff and Committees
- Attend regularly scheduled staff meetings of the church, meetings of the Building Committee, calendar meetings with the School, and such other meetings as may be necessary for the care of the building and grounds
- Work with church members on a regular basis for a wide variety of events and functions paying special attention to the Altar Guild and Flower Guild
- Serve as the staff representative to the Property Committee and other committees as requested
- Work regularly with the Property Committee for long-term maintenance and improvement
- Work with Holy Innocents’ Episcopal School to coordinate calendars, schedules, events, and programs
- Responsible for third party management of deliveries
Qualifications and experience
- Professional in appearance and demeanor. Diplomatic communication style with many different people
- Proven excellence in management
- Ability to use event scheduling software, online calendars, and Microsoft Office Suite
- Excellent organizational skills, problem solving skills, ability to work with colleagues and constituents
- Ability to learn new programs and technologies as programs change
- Ability to maintain confidentiality
- Ability to exercise sound, independent judgment
- Administrative precision and attention to detail
- Desire to work as a team member with the church staff
Salary and Terms Summary
- 40 hours per week with full medical and retirement benefits
