Summary:

Responsible for a multitude of accounting activities including posting transactions, general ledger preparation, financial reporting, and monthly account reconciliations with a focus on ensuring the timely and accurate delivery of financial statements and reporting.  Hands-on position providing support in the day-to-day operations of the department. Manages a portfolio of Federal, State, and local grants and contracts.  Reviews and analyzes financial transactions for financial reporting, providing support for timely monthly and year end closeouts. Full-charge responsibility for the books of Progressive Hope House, Inc. (PHHI).  The Accounting Manager supervises the Accounting Assistant.

Essential Functions and Responsibilities:

  • Supervises and develops accounting staff members and work performed; formally prepares annual evaluation while continuously providing guidance and feedback with interval evaluations and coaching sessions.
  • Manages and serves as back-up for Accounting Assistant (A/R, and Collections)
  • Manages a portfolio of Federal, State and local grants and contracts, including preparing and submitting timely reimbursement requests and generating all required reports.
  • Serves as back-up for all other Federal, State, and local grants and contracts.
  • Full-cycle A/P including vendor management, invoice coding, vendor payment processing, researching outstanding payments, maintaining files, and 1099 generation.
  • Processes the monthly American Express bill timely and follows up with all cardholders to ensure that all receipts are submitted, properly coded, and approved.
  • Processes bi-weekly contractor payments and prepares related journal entries.
  • Serves as back-up for payroll and other HR functions as needed.
  • Manages cash receipts and makes bank deposits.
  • Generates monthly manager’s reports and assists program managers with questions related to their expenses.
  • Responsible for monthly General Ledger account reconciliations and assistance with month-end processing.
  • Full charge-responsibility for PHHI books to include A/P, A/R, revenue recognition, G/L reconciliations, CaringWorks/PHHI due to/from accounts, and financial statement generation.
  • Takes initiative to review processes and suggest improvements for efficiency and compliance.
  • Assists with the annual budget process.
  • Works with external auditors for program audits, year-end financial audit, and 990 preparation.
  • Works with offsite storage vendor to ensure proper storage and destruction of the organization’s records.
  • Orders and maintains office supplies.
  • Oversees maintenance of office equipment (copiers, postage meters, etc.)
  • Other duties as assigned.

Qualifications and Required/Preferred Skills:

  • Bachelor’s degree in Accounting required.
  • A minimum of 5 years’ experience to include management of accounting staff required.
  • Payroll experience preferred.
  • Non-profit accounting experience preferred.
  • Medical billing experience a plus.
  • Experience using QuickBooks accounting software preferred.
  • Solid experience coordinating activities and managing reporting, budget development, accounts payable and receivable, general ledger, payroll, and financial statements.
  • Excellent interpersonal, analytical, research, presentation, written, and oral communication skills.
  • Ability and willingness to work collaboratively with other staff, clients, vendors and/or donors.
  • Ability to think critically and apply knowledge of accounting principles.
  • Organized and detail-oriented with strong level of accuracy and the ability to multi-task.
  • Ability to prioritize and adhere to strict deadlines.
  • High level of integrity; ability to handle confidential information.
  • Proficiency in Microsoft Office software to include Word, Excel, and Outlook required.
  • Proficiency in Google Docs/Google Drive preferred.
  • Ability to work with at-risk client populations (i.e. chronic illness, mental illness, substance abuse, etc.).
  • Experience in quantitative and qualitative analytical methods.
  • Must successfully pass a background check and drug screening test.
  • Must possess a valid GA state driver’s license and liability insurance minimums as outlined in CaringWorks Liability insurance coverage policy.
