Job Details
Volunteer Coordinator
Job Purpose: This position is responsible for volunteer recruitment and management, making sure volunteer needs are met for:
- Bike collection in October (October 3-4th)
- Refurbishment in October and November- coordinating with site leads to ensure work sites are sufficiently staffed
- Giveaway Day (GAD) in December (December 5-6th)
- Volunteer Appreciation Party in January/February time frame
Organizational/Reporting Structure: Reports to Chair of Volunteer Committee. Works closely with Site Leads and Staff Mechanics, as well as the Executive Director.
Job Tasks, Responsibilities, Accountabilities:
Administrative
- Manage volunteer website calendar to confirm, schedule, reschedule, or cancel volunteers as appropriate
- Manage the volunteer force to match the workload—numbers as well as skills needed
- Make sure Site Leads understand and receive daily info from our online volunteer management system
- Weekly meeting (during October and November) with Site Leads, Mechanics, and Executive Director to assess progress, bring up problems, make adjustments, etc.
Volunteer Recruitment
- Contact previous volunteers and groups to invite volunteer participation (Email blasts to all previous volunteers)
- Identify, build relationships, and contact new companies and organizations in order to recruit volunteers in advance of bike refurbishing, if available
- Make sure Site Leads are versed in expectations, needs, schedules, and signing verification of all volunteers opportunities
- Post signs around the community to publicize FB4K’s volunteer opportunities
- Communicate our volunteer needs with corporations/sponsors so they can include messaging in their media buys
- Work with our Social Media contact to keep pushing awareness of our need for volunteers
- Update FB4K volunteer request listings with community volunteer websites when applicable (Community Bucket, Hands on Atlanta, Volunteer Match, Volunteer Spot, etc.)
- Help train site leads to welcome and manage volunteers in a respectful, efficient way
- Most of the volunteer scheduling is managed via our online registration system, however there will be need to be direct contact with those organizing and scheduling large groups of volunteers
- Be a cheerleader and encourager of our volunteer workforce
Warehouse oversight
- Communicate weekly with site leads regarding large groups that are scheduled to volunteer in order to fulfill any special requirements, etc.
Giveaway Day Activities
- Work with Giveaway Day Coordinator to ensure that each shift of volunteers is trained and assigned appropriate roles
- Communicate regularly with volunteers leading up to GAD regarding timing, appropriate dress, what to expect at GAD, directions to warehouse, etc.
- Troubleshoot issues, problem solve
Volunteer Appreciation Party and shutting down warehouses
- Assist in securing volunteers to help decorate, stage venue, serve food, and tear down afterward.
- Organize volunteers to empty and clean warehouses, getting tools, stands, parts, and supplies loaded back into our permanent storage container.

Qualifications:
Knowledge/Skills:
- Good recruiter, good communicator, a positive thinker
- Computer skills-especially: Word, Excel, etc.
- Experience with google forms and SalesForce is a plus.
- Experience with bikes and being well connected in the non-profit, volunteering, or biking community is a plus.
Knowledge of FB4K systems: communication, decision making, important events, marketing, etc
Abilities: Organized and efficient, work effectively under pressure, respond positively to change, attention to detail, able to communicate clearly, good people skills, etc.
Experience: Some leadership experience, preferably leading a team or coordinating volunteers.
Behavioral Attributes: Willingness to take initiative and work effectively without close supervision, diligent self-starter, maintain calm and complete workload under pressure of deadlines and changing priorities, adaptable and flexible, etc.
Hours: This is a part-time volunteer position that will begin in October 2020, or earlier if needed. October 5th - December 7th will be approximately 10 hours per week. The final responsibility will be planning and inviting volunteers for a January/February Volunteer Appreciation Party.
Compensation: $15/hour

The public donates gently used bikes, we organize thousands of volunteers to clean and refurbish them, and then we give them away to kids in need.
