SUMMARY OF POSITION
 
NELA and The Institute are searching for an experienced, detail-oriented, and organized self-starter to fill the position of the Bookkeeper & Office Coordinator. The Bookkeeper & Office Coordinator is responsible for duties relating to NELA’s and The Institute’s financial, benefits, and office administration, and additional duties as assigned by the Director of Operations. This position regularly interacts with other NELA/The Institute staff members in providing support, and assists NELA members as needed. This is a full-time, exempt position. The Bookkeeper & Office Coordinator is based in NELA/The Institute’s Oakland office, which will be moving to Concord, California in December 2019.
 
 
 
 
 
 
JOB RESPONSIBILITIES
 
Bookkeeping & Benefits Administration
 
 Manage financial accounting systems and bookkeeping functions for accounts payable, accounts receivable, payroll, credit control, banking and deposits, and cash management.  Develop, implement, and ensure compliance with internal financial and accounting policies and procedures.  Manage the preparation of the financial review, audit, and annual tax return filing for NELA and The Institute for the external CPA in a timely manner as appropriate.  Manage the acquisition of capital assets and ensure that assets are properly recorded, amortized, and disposed of as appropriate.  Process and fulfill NELA products orders, including mailing list rentals, and maintain inventory of NELA products.  Liaise with the organization’s outside accountant, Treasurer, Finance Committee, and/or Audit Committee as appropriate.  Coordinate preparation and monitoring of the annual budget in consultation with the Director of Operations, Executive Director, and Treasurer and/or Finance Committee.  Maintain NELA’s and The Institute’s compliance with various states’ annual solicitation regulations and other filings.  Implement and manage payroll and benefits administration including new employee onboarding, time tracking, and legal compliance.  Manage annual filing and distribution of W-2’s and 1099’s  Oversee finance-, benefits-, and HR-related vendor and contractor relationships.  Other duties as assigned by the Director of Operations.
 
Office Coordination  Maintain office equipment and supplies, including researching options and pricing; overseeing installation, maintenance, and repair; and serving as liaison to related vendors.  Research, make recommendations, and maintain insurance policies including Directors & Officers Liability Insurance, general liability insurance, and workers’ compensation and liability insurance, among others.  Serve as liaison to the landlord and building management staff. As needed, coordinate office moves and maintenance of office space (e.g. carpet cleaning, repairs, etc.).  Organize and maintain onsite and offsite storage facilities per NELA’s and The Institute’s record keeping policy.  Other duties as assigned by the Director of Operations.
 
QUALIFICATIONS
 
 At least 5 years of experience in nonprofit bookkeeping and finance, preferably in comparablesized nonprofit organizations.  Familiarity with GAAP for nonprofit organizations.  Proficiency with QuickBooks accounting software.  Proficiency in Microsoft Office; Excel, Word, PowerPoint, Outlook Mail, and Calendar.  Track record of accurate data entry.  Knowledge of and experience in payroll and benefits administration.  Experience coordinating office equipment and systems.  Excellent time management skills, with the ability to prioritize and coordinate multiple projects at one time and meet assigned deadlines.  Strong initiative, curious, enthusiastic, and able to build positive working relationships with individuals at all levels of the organization.  Strong analytical and communication (both verbal and written) skills.
 
 Detail-oriented, organized, with the flexibility to work in a fast-paced environment.  Ability to learn new programs and procedures quickly.  Ability to handle sensitive information professionally and maintain confidential matters.
