Reports To:   COO

SUMMARY: The Administrative Operations Manager assists the Chief Operations Officer (COO) with overall coordination and effective management of the administrative operations of Wellroot Family Services to promote efficient delivery of services. 

The Administrative Operations Manager maintains high standards of professionalism, efficiency, personal communication, discretion and independent judgment while working with internal and external contacts, including board members. This position entails a wide range of highly sensitive issues under tight deadlines. 

RESPONSIBILITIES:

  • Responsible for the day-to-day supervision and coordination of reception staff ensuring adequate coverage for front desk and all functions are carried out in accordance with agreed procedures, protocols and schedules. Regularly evaluate quality of individual and team performance, recommending changes and improvements for the receptionist role.
  • Provide administrative support to COO including management of the COO’s calendar, prioritizing and resolving related conflicts and competing demands, proactively scheduling internal and external meetings and maintaining an organized office.
  • Manage PTO requests of COO’s direct reports and maintain a unit calendar of requested time off.
  • Works closely with the COO on projects and with management of key partners including property, banking, investment, and insurance entities.
  • Administers and verifies contracts and associated documents to ensure timely renewals. As the central depositor of contracts, will monitor and maintain contract documents to ensure compliance with Wellroot policy as well as relative laws/regulations.
  • Coordinate annual renewal of insurance products and application completion. Responsible for reporting of claims and incidents and managing the distribution of annual and on-demand certificates of coverage.
  • Manage and Coordinate the Wellroot scholarship program with external vendor.
  • Undertakes special assignments/projects on a wide variety of issues as requested by the COO.
  • Contributes to the excellent reputation of the COO’s office through professional, friendly and respectful interactions internally and externally.
  • Assist Purchasing and Facilities Manager with administering the procurement and materials management activities within Wellroot Family Services.
  • Coordinate with other support departments such as Human Resources, Accounting, IT, Quality Improvement, and Facilities to ensure successful production operations.
  • Assists with, or prepares and updates, organization’s operations manual and policies.

PREFERRED REQUIREMENTS:

  • Preferred bachelor’s degree from an accredited college/university

REQUIREMENTS:

  • Have a minimum of 5 years’ experience of administrative experience
  • Excellent verbal and written communication skills, with proven negotiation skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Strong supervisory and leadership skills with the ability to effectively train others.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Understanding of business and management principles.
  • Proficient with Microsoft Office Suite or related software

Work Environment: This position is located at Wellroot Family Services headquarters in Tucker, Georgia, and the work is conducted in an office setting and across the campus. The ability to maintain a flexible work schedule which is required. Must be able to lift up to 25 pounds. Usually sits in front of a computer 80% of the time.

Foster Care in GeorgiaFor nearly 150 years, Wellroot Family Services has been leading the effort to transform the lives of children and families in Georgia. Through our four programs, Wellroot cares for and encourages the growth and healing of children, young adults and families in and affected by the foster care system of Georgia.

Wellroot first opened its doors in 1871. Its name at the time, though, was The Decatur Orphans’ Home. Its mission was to serve the needs of children who had been orphaned during the Civil War. Over the next several decades, the needs of children and families in Georgia changed, as did the focus and programs of The Decatur Orphans’ Home, whose leadership continued to grow and transform the organization in order to better meet those needs. In 1934, after 63 years as The Decatur Orphans’ Home, The Board of Trustees approved a name change that would better reflect the growth of the organization, along with its potential as an Foster Familiesagency of the Methodist Church. The new name was The Methodist Children’s Home.  Thirty-six years later, in 1970, “United” was added to the name, reflecting the continued growth and transformation of the Methodist denomination.

The needs of children and families in Georgia continue to change and true to our heritage, the programs and focus continue to be transformed in order to better meet those needs.

In December 2018, the Board of The United Methodist Children’s Home approved another name change, one that better reflects the growth of the organization, along with its potential as an agency of The United Methodist Church. After 49 years of operating as The United Methodist Children’s Home, our organization is now called Wellroot Family Services.
