Assistant Director, Accounts Receivable (Gift Processing)

The Lucile Packard Foundation for Children's Health (Foundation) is a team of dedicated individuals with a shared commitment to helping kids and families live healthier lives.

The Foundation does this by:

  • Fundraising for Lucile Packard Children's Hospital at Stanford and the maternal and child health programs of Stanford University School of Medicine.
  • Raising awareness of children's health issues.
  • Promoting a system of care that improves the lives of children with special health care needs and their families

Reporting to the Director of Development Services, the Assistant Director will be responsible for leading the Gift Processing team and all aspects of Gift Processing Department operations.  The Assistant Director will work closely with the Foundation’s Development and Finance Departments, and key finance personnel at the Lucile Packard Children's Hospital Stanford ("LPCH") and Stanford University School of Medicine ("SOM") on gift related issues.

GENERAL POSITION DUTIES AND RESPONSIBILITIES

Operational Responsibilities:

  • Effectively manages full scope of the gift processing operations of the Development Services department including, but not limited to, overseeing bank/brokerage account management, outstanding pledge management, fund management, stale funds review, annual LPFCH/SU/LPCH audit support, and gift-related reporting
  • Ensures a high level of service; productivity and adherence to quality standards, deadlines, and procedures
  • Responsible for the month-end close process, transfer of funds, and associated reporting to internal and external audiences
  • Reviews online fundraising pages and direct mail remittance devices for accuracy
  • Oversees gift processing staff in the day to day support of donors, Foundation staff, and counterparts at LPCH and SOM to answer gift-related questions/issues and resolve escalated gift-related issues
  • Maintains thorough knowledge of all gift-related federal/state rules/regulations to ensure compliance and brings any compliance issues to the attention of the Director of Development Services
  • Responsible for the development, maintenance, and implementation of policies and procedures for gift processing
  • Serves in a back-up and/or overflow capacity for gift processing staff as needed
  • Serves in a back-up capacity for the Director of Development Services as necessary
  • Leads and/or assists with special projects as needed throughout the Foundation
  • Identifies ways to influence and drive improvements to efficiency, processes and procedures and makes recommendations accordingly

Leadership Responsibilities:

  • Leads, coaches, mentors and develops the gift processing staff to ensure continuous learning and growth opportunities
  • Establishes individual staff goals and objectives in alignment with and support of, departmental and Foundation goals
  • Ensures direct reports are trained in their assigned job functions and as back-ups to other positions as appropriate
  • Provides regular, ongoing, honest and constructive feedback to staff including timely and objective performance appraisals
  • Promotes a work environment where staff feel engaged, valued and can do their best work
  • Embraces diversity in all its forms to ensure departmental and Foundation staff are treated with respect, dignity and empathy at all times and in all situations
  • Recognizes staff accomplishments and achievements at the individual and team level and regularly seeks opportunities to express gratitude and appreciation

  • Regular and predictable attendance is required

EDUCATION, SKILLS AND EXPERIENCE

EDUCATION

Required:

Bachelor's Degree in Accounting, Finance or a related discipline or equivalent experience.

SKILLS, EXPERIENCE AND JOB RELATED REQUIREMENTS

Required:

  • 4-6 years of general accounting experience
  • 2+ years of accounts receivable experience
  • 3+ years’ experience managing and leading a team, including mentoring, and developing staff
  • Proficiency in Microsoft Word, Outlook, Excel, and Access
  • Experience using accounting software
  • Experience performing month-end close processes, including data audits, timely preparation of reconciliations and reports, and posting to the general ledger and the ability to lead/manage the process
  • Knowledge of relevant federal and state rules/regulations regarding charitable donations
  • Experience developing and implementing internal controls
  • Strong analytical skills, outstanding organizational skills, and meticulous attention to detail.
  • Ability to process high levels of data entry efficiently and accurately
  • High level of productivity and initiative
  • Ability to handle multiple projects simultaneously in a fast-paced environment
  • Excellent verbal and written communication skills, including ability to communicate directly and effectively with others
  • Tactfulness, flexibility, and collaboration are essential in working with diverse population groups (co-workers, constituents, physicians, faculty, staff, vendors, etc.)
  • Proven ability to be resilient and adaptable in the face of changing priorities
  • Good judgment, a positive attitude, the ability to take initiative and work independently
  • Ability to work with minimal supervision
  • Able and willing to work evenings and weekends as needed
  • A genuine interest in children and their health

Preferred:

  • Accounting or gift processing experience in a non-profit organization
  • Experience using Blackbaud Financial Edge, Blackbaud Raiser’s Edge or similar non-profit accounting software
