Job Title: Executive Assistant

Classification: Exempt

Position Grade: Administrative

Program: Administrative

Reports to: Chief Executive Officer

The Executive Assistant is responsible for all requests made by the Chief Executive Officer. In addition to day to day tasks, this position will provide support with meeting preparations, calendar management and other projects as needed.

A bachelor’s degree is required. Experience in behavioral healthcare field and prior office experience is a plus.

Qualifications/Competencies

Essential Skills

  • Computer proficiency in Word, Excel, PowerPoint, Outlook, Adobe Acrobat (editing, exporting, and signing pdf documents) , Doodle Poll (identifying & creating meeting times), Visio (flowcharts and organizational charts)
  • Understanding of the purpose of collaboration
  • Ability to work with multiple agencies in the best interest of the youth served
  • Reliable transportation and a clean driving record
  • Ability to track and organize large amounts of information
  • Ability to take initiative, work independently, self-motivated and be resourceful
  • Timely and well written documentation
  • Willingness to function as part of a team
  • Open to learning and tracking large amounts of information
  • Ability to juggle numerous tasks at one time
  • Prioritizing daily as projects and tasks are implemented at various times
  • Punctuality is a must
  • Ability to work effectively on multiple teams with different goals toward the best interest of the children served

Preferred Skills

  • Working knowledge and/or experience with MAAC
  • Knowledge of systems of care (DHS, DBHDD, DJJ, Mental Health) and how those impact our youth
  • Knowledge and experience in web-based information systems
  • Knowledge and or experience of Human Resource procedures

• Office Managerial duties and/or supervision

  • Typing speed of 55 to 80 wpm

Job Duties & Responsibilities

  1. Administrative Support for Chief Executive Officer and other executive leadership (as needed)
  2. Navigate various databases (both internal and online) such as Efforts to Outcomes (as needed)
  3. Gather, report and interpret statistical data in a professional and comprehensible manner
  4. Attend and travel to meetings, trainings and partner agencies (as needed)
  5. Updating minutes, calendars, agendas and directories (as needed)
  6. Assist other administrative staff in coordinating external and internal meetings and trainings by making copies, room set up and stocking meeting supplies, food orders, maintaining calendar, conference call set up, and travel arrangements (as needed)
  7. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  8. Creating & editing presentations
  9. Reviewing and collecting documents for grants
  10. Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  11. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  12. Writing and editing professional reports
  13. Contributes to team effort by accomplishing related results as needed
  14. Maintains confidence and protects operations by keeping information confidential.
  15. Completes projects by assigning work to administrative staff; following up on results.
  16. Liaison to Board of Directors and other industry professionals
  17. Various clerical & assigned duties (as necessary)

Supervisory Responsibility: None

Work Environment: 90% in office

Special Demands: Able to drive long distances/Sitting/Standing

Work Hours: Full-time

Weekend Work Possibility: None

Travel: within the state of Georgia

MAAC has been approaching child welfare and behavioral healthcare with an innovative, custom-tailored approach for nearly 20 years.

In 1996, several private non-profit agency directors gathered together to create what ultimately became the MAAC collaborative. These directors were driven to create "a new way of doing business" in the field of behavioral healthcare. Their vision was to create a seamless continuum of care to address all of the needs of the child, adolescent and family while reducing treatment "failures" and uncoordinated multiple placements.  

By teaming together to create a continuum of collaborative care, each MAAC member-agency maintains their individuality and expertise in the service areas they uniquely provide. This team approach eliminates the duplication of services across multiple agencies, reducing the risk of becoming "spread too thin.”

Today the nine non-profit behavioral healthcare providers that form MAAC are united in their passion for serving children and families through an individualized, case-by-case approach. The scope of services offered by MAAC’s member agencies range from assessments to intensive psychiatric care, adoptions to residential group homes, therapeutic foster care to maternity care and much more. MAAC also has MOUs with nine other providers throughout the state of Georgia.
